Job summary

Qualifications

Responsibilities

  • Assist the Director of Instruction and Professional Development with grant-funded leadership development activities, paperwork, and documentation.
  • Maintain organized records and documentation related to grant activities, including participant records, attendance, completion requirements, contracts, invoices, and reporting materials.
  • Track program participation and report evaluation data; support development of reports measuring outcomes.
  • Coordinate logistics for professional development sessions, leadership programs, meetings, and events, including scheduling and materials preparation.
  • Prepare participant materials, agendas, presentations, and program communications.
  • Support data entry, spreadsheet management, and documentation tracking.
  • Help track expenses, receipts, and budget information related to grant-funded activities.
  • Communicate with principals, assistant principals, teachers, presenters, and external partners to support program implementation and data collection.

Education

Job description

The Grant Program Assistant is a temporary, part-time, grant-funded position. In collaboration with the Director of Instruction and Professional Development and Department of Catholic Schools staff, this individual will provide administrative, logistical, and programmatic support for the implementation of a multi-year leadership development initiative funded through a grant opportunity.

This position will support leadership development programming designed to strengthen the pipeline of current and aspiring school leaders, coordinate grant-funded activities, maintain required documentation, and assist in the implementation and continuous improvement of professional learning opportunities across the Archdiocese of Baltimore. The Grant Program Assistant reports to the Director of Instruction and Professional Development. The ideal candidate is highly organized, detail-oriented, and possesses strong communication and project management skills. This position requires the ability to manage multiple priorities, maintain accurate records of expenditures, and communicate effectively with principals, assistant principals, teachers, presenters, and external partners.

This is a hybrid position requiring approximately 20 hours of work per week, with the majority of responsibilities performed remotely. Occasional attendance at in-person professional development sessions, meetings, and events will be required.

Essential Functions
  • Assist the Director of Instruction and Professional Development with the implementation and coordination of grant-funded leadership development activities, paperwork, and documentation.
  • Maintain organized records and documentation related to grant activities, including participant records, attendance, completion requirements, contracts, invoices, and required reporting materials.
  • Track program participation, collect and report evaluation data, and support the development of reports that measure the effectiveness and outcomes of grant-funded leadership development programs.
  • Assist the Director of Instruction and Professional Development in coordinating logistics for professional development sessions, leadership programs, meetings, and special
  • events, including scheduling, materials preparation, communications, and day‑of‑event support as needed.
  • Prepare participant materials, agendas, presentations, handouts, and program communications as needed.
  • Support data entry, spreadsheet management, and documentation tracking.
  • Help track expenses, receipts, and budget information related to grant‑funded activities.
  • Communicate regularly with principals, assistant principals, aspiring leaders, teachers, presenters, and external partners to support program implementation and data collection.
Position Qualifications
  • Bachelor's degree in Business Administration or a related field required; or an equivalent combination of education and experience in data management and tracking sufficient to successfully perform the essential job duties.
  • Experience in program coordination, project management, education, nonprofit administration, or a related field required.
  • Experience supporting professional development, leadership programs, or educational initiatives preferred.
  • Experience managing documentation, budgets, spreadsheets, and administrative processes required.
  • Experience collecting, organizing, and analyzing data to evaluate program impact required.
  • Experience coordinating projects, timelines, or deliverables across multiple stakeholders preferred.
Required Knowledge, Skills, and Abilities
  • Excellent oral and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple projects, deadlines, and priorities independently.
  • Proficiency with Google Workspace, including Google Docs, Google Sheets, Slides, Forms, and Drive, as well as Microsoft Excel.
  • Ability to maintain accurate records and handle confidential information.
  • Strong technology and administrative skills.
  • Commitment to the mission of Catholic schools and leadership development.
Commitment and Compensation

Continuation of the appointment beyond the initial one-year term is not guaranteed.

The anticipated time commitment is approximately 20 hours per week, with flexibility based on program schedules and grant-related activities. Occasional attendance at in‑person professional development sessions, meetings, or events will be required.

This is a stipend‑based position and is not a salaried role. The annual stipend will be distributed in monthly installments in accordance with Archdiocesan procedures and expectations regarding the satisfactory completion of assigned responsibilities.

Pay Rate

$33.00, Hourly
