Job summary

Oak View Group is seeking an Event Coordinator for on-site work in Philadelphia. The role supports planning, design concepts, timelines, and successful event execution for Rhubarb Hospitality Collection venues.

Responsibilities include coordinating departments, producing mood boards, and ensuring smooth post-event reporting. Qualifications include a 4-year degree preferred, 1–2+ years in similar venues, and the ability to work flexible hours, including nights and weekends.

Qualifications

• 4-year degree preferred.
• 1-2+ years of experience in arenas, convention centers, stadiums or theaters preferred.
• Ability to work flexible and sometimes demanding schedules (including nights, weekends, holidays and extended hours).
• Experience with Microsoft Office products, CAD, and Ticketmaster ticketing software preferred.

Responsibilities

• Partner with Sales, Culinary, and Operations to ensure concepts are both innovative and executable.
• Communicates all event information to the appropriate departments and staff.
• Develop creative concepts, mood boards, and client presentations.
• Communicates in a timely manner with each department head regarding specific needs and information for each event.
• Prepares post-event reports for all events coordinated.
• Attend planning meetings, tastings, site visits, and key event installations.
• Provide on-site support for select signature events and complex productions.
• Build planning timelines, production documents, and event materials.
