The Part Time Accounting Associate is responsible for managing financial transactions related to grant reports, bookkeeping, accounts receivable, and compliance. This role involves working closely with internal and external stakeholders to ensure timely and accurate financial reporting, A/R payment processing, and grant-related activities. The ideal candidate should possess a strong understanding of accounting principles and proficiency in QuickBooks and Microsoft Office.

Hourly rate: $24-$26 per hour based on experience. Flexibility to start work shift between 8 am-12 pm.

Job Responsibilities:
  1. Restricted Fund Management: Track and manage all grant activity using warehouse software and QuickBooks, ensuring accuracy and compliance with grant guidelines.
  2. Accounts Receivable Management: Understand warehouse software functions related to payments, credit issuance, write-offs, and grants.
  3. Payment Processing: Record agency payments (checks and electronic) into warehouse software.
  4. Discrepancy Resolution: Research and resolve payment discrepancies, communicating with agency financial personnel and Foodbank staff.
  5. Electronic Payment Processing: Process check payments via remote electronic deposit system.
  6. Cash Handling: Prepare cash deposits for bank submission.
  7. Credit Management: Evaluate and approve or deny credit increase requests from agencies.
  8. Daily Accounting Entries: Record daily deposits and inventory activity in QuickBooks.
  9. Miscellaneous Invoicing: Create and record invoices related to business income in QuickBooks.
  10. Inventory Management: Update inventory spreadsheet to track levels and adjustments.
  11. Collaboration and Communication: Maintain open communication with internal and external partners to resolve financial issues.
  12. Other Duties: Perform additional tasks to support organizational goals.
Qualifications:
  • Three to five years of experience in accounts receivable, billing, accounts payable, and general ledger accounting. A degree in accounting is a plus but not required.
  • 2-3 years experience in nonprofit financial administration or related fields is a plus.
  • Proficiency in QuickBooks and Excel.
  • Strong analytical skills and ability to manage multiple priorities.
  • Excellent communication and problem-solving skills.
  • Knowledge of government contract management and compliance is a plus.
  • Attention to detail and high accuracy in financial processing.
