Kingstonville is seeking an experienced Paralegal/Legal Assistant II to provide comprehensive litigation and administrative support to attorneys within a federal legal environment. The successful candidate will assist with the preparation and processing of complex legal documents, case and discovery management, trial preparation, evidence organization, scheduling, and other litigation support activities.The ideal candidate has strong legal administrative experience, excellent organizational skills, attention to detail, and the ability to manage multiple assignments and deadlines in a fast-paced legal environment.
This position is contingent upon contract award.
Job Duties/ Responsibilities:
- Examines, prepares, and processes complex legal correspondence, pleadings, motions, briefs, affidavits, stipulations, subpoenas, and other legal documents.
- Proofreads and cite-checks legal briefs, memoranda, and other legal documents for accuracy and completeness.
- Prepares tables of authorities and tables of contents and assembles record materials for court filings.
- Reviews incoming case materials and determines the documentation and processing required.
- Drafts routine legal correspondence and prepares recurring legal documents in accordance with applicable procedures, rules, and formatting requirements.
- Obtains information and supporting documentation from case files, law enforcement agencies, and other appropriate sources.
- Assists with the preparation of indictments, criminal complaints, search warrants, judgments, applications, notices, affidavits, summonses, grand jury subpoenas, and other legal documents under attorney direction.
- Prepares summaries of evidence, witness interviews, meetings, and other case-related information.
- Organizes and manages discovery materials and evidence in both electronic and paper formats.
- Conducts document searches, organizes records, performs first-level document review, and assists with document productions.
- Codes and indexes discovery documents using legal case management and litigation support software.
- Assists with trial preparation, including compiling trial notebooks, witness binders, jury instructions, witness lists, exhibit lists, and other trial materials.
- Prepares trial exhibits, including charts, graphs, timelines, photographs, and other visual materials.
- Maintains and organizes evidence, including documents, PDFs, images, audio and video files, bank records, forensic reports, and other electronic records.
- Provides automated litigation and courtroom presentation support to attorneys as needed.
- Uses scanners, presentation software, graphics equipment, and other office technology to prepare and manage litigation materials.
- Maintains case files and records to facilitate accurate and efficient retrieval of information.
- Tracks case status, court filings, hearings, trials, conferences, interviews, and other important dates and deadlines.
- Maintains attorney calendars, schedules appointments and conferences, and provides reminders of court appearances and other commitments.
- Coordinates with victim/witness personnel regarding applicable victim rights, services, and case-related matters.
- Receives visitors and telephone inquiries and provides appropriate information regarding office procedures and pending or closed matters.
- Reviews litigation-related bills and invoices and assists with submission for payment.
- Prepares travel authorizations and vouchers.
- Performs other duties as necessary to support attorneys, case activities, and project requirements.
Requirements
Qualifications
- High school diploma or equivalent required; bachelor’s degree preferred.
- Minimum of four (4) years of legal assistant or comparable legal support experience.
- Demonstrated experience preparing, processing, organizing, and maintaining legal documents and case materials.
- Proficiency in Microsoft Office Suite, including word processing and document preparation.
- Proficiency with document management, data entry, and general business administration functions.
- Experience working with electronic case files, discovery materials, and legal case management systems.
- Ability to proofread complex documents with a high degree of accuracy and attention to detail.
- Strong organizational and time-management skills with the ability to manage multiple assignments, priorities, and deadlines simultaneously.
- Proficiency with standard office technology and equipment, including computers, scanners, copiers, and related systems.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively in a professional legal environment.
- Ability to handle sensitive and confidential information appropriately.
- Ability to successfully complete and maintain any required background investigation.
