Job summary

McGuireWoods LLP is seeking a Legal Practice Assistant to join the Practice Assistants Response Team in Charlotte, NC (hybrid remote option). The role supports associates with document management, calendaring, time entry/billing, travel arrangements, and conference scheduling within the corporate practice area.

You will prepare and format documents, manage deal documents, and maintain closing checklists while working closely with clients and firm personnel in a collaborative environment.

Qualifications

  • High school diploma or GED with 3+ years of relevant experience.
  • Experience with corporate filing, time entry and billing software (Elite) and expense reimbursement software (ChromeRiver) preferred.
  • Strong organizational and communication skills; ability to work in a team.

Responsibilities

  • Prepare, edit and format legal documents and correspondence.
  • Manage large volumes of deal documents and create electronic closing binders.
  • Organize transaction files, upload/distribute documents, and maintain closing checklists.
  • Maintain corporate matter files and prep files for closing per Records procedures.
  • Communicate with clients, vendors, courts and firm personnel professionally.
  • Provide coverage as part of a team of Practice Assistants when needed.

Job description

McGuireWoods LLP has an opening for a Legal Practice Assistant to join our Practice Assistants Response Team in our Richmond, VA and Charlotte, NC offices. The Assistant will be part of a team of Legal/Practice Assistants supporting associates across the firm with legal and administrative tasks to include document management, opening and closing of files, calendaring, time entry/billing, travel arrangements, meeting/conference scheduling and other special projects, within our corporate practice area. Responsibilities
  • Prepares, edits and formats legal documents and correspondence.
  • Manages and organizes large volumes of deal documents to support closings and creates electronic closing binders.
  • Manages transaction files: uploads and organizes documents within the DMS; processes, saves, and distributes transaction correspondence, execution copies, and regulatory/agency filings; maintains closing checklists and document indices as needed.
  • Organizes and maintains corporate matter files, retrieves case files, and prepares files for closing in accordance with Records Department procedures.
  • Communicates with clients, vendors, courts, regulatory agencies and firm personnel in a professional manner via telephone, email and in person.
  • Participates as part of a team of Practice Assistants providing coverage and/or backup coverage as needed.
Qualifications
  • Requires high school diploma or GED and a minimum of three years of related experience and/or training; or equivalent combination of education and experience.
  • Preferred experience in corporate filing, time entry and billing software (Elite), and expense reimbursement software (ChromeRiver), but not required.
  • Ability to work efficiently and effectively in a different location than the people supported and part of a team environment.
  • Ability to think clearly, react positively and evaluate situations to determine appropriate action and act decisively under pressure.
  • Ability to proactively identify opportunities to assist team and those the team supports.
  • Must be highly organized and a self-starter.
  • Interest in using innovative AI technology, including Harvey and Copilot, to support efficient high-impact work.
