Qualifications

Responsibilities

  • Coordinate administrative procedures within department and/or among other offices.
  • Monitor and analyze data to track progress and identify trends.
  • Collaborate with the PI, supervisors, trial staff, and community organizations to inform participants about available support services.
  • Perform data analysis using tables, graphs and basic statistics.
  • Assist in creating promotional materials and communication strategies for awareness and retention throughout the study lifecycle.
  • Coordinate participant follow-up communications and updates to maintain engagement.
  • Maintain accurate records of outreach activities and engagement metrics for reporting and compliance.
  • Performs other job-related duties as assigned.
  • Provide outreach and education about clinical trials protocols and/or studies in the community, schools, churches, and other settings.
  • Develop methods to increase enrollment by reaching out to stakeholders.
  • Provide on-site guidance to visitors and guests for university-related events.
  • Distribute outreach materials to the community and track engagement.
  • Develop and implement community partnerships to boost recruitment and awareness.
  • Coordinate logistics for community outreach events (scheduling, venues, materials, registration).
  • Perform other job-related duties as assigned.

Job Purpose

The purpose of this position is to coordinate community outreach activities. This position may manage office workflow and establish office procedures in support of the department. The incumbent typically works with a high degree of independence and uses initiative to carry out regular assignments in accordance with established policies and procedures. This position generally reports to the Principal Investigator (PI) and other assigned supervisors.

Supervisory Authority

Involves no responsibility or authority for the direction of others.

Nature And Scope

Internal contacts generally include administrators, faculty, students and staff. External contacts generally include vendors, consultants, visitors and the general public.

Principal Accountabilities

Administrative duties (60%)

  • Executes directives from the PI and other assigned supervisors to coordinate administrative procedures within department and/or among other offices.
  • Monitors and analyzes data to track progress and identify trends, ensuring alignment with outreach goals.
  • Collaborates with the PI, assigned supervisors, clinical trial staff, and community-based organizations to ensure study participants receive timely and comprehensive information about available support services.
  • Performs data analysis of average difficulty using tables, graphs and basic statistics.
  • Assists in the creation of promotional materials and communication strategies to ensure continuous awareness and participant retention throughout the study lifecycle.
  • Coordinates and manages participant follow-up communications, ensuring timely reminders and updates throughout the study, and addressing any questions or concerns to maintain engagement.
  • Maintains accurate records of outreach activities, engagement metrics, and participant communications for reporting and compliance purposes.
  • Performs other job-related duties as assigned.

  • Coordinates logistics for community outreach events, including scheduling, securing venues, preparing materials, and/or managing registration processes.
  • Performs other job-related duties as assigned.
Core Competencies
  • Advanced knowledge of office and administrative practices and principles.
  • Skilled in the operation of computers, related software applications (e.g., MS Word, Excel, PowerPoint). Knowledge of standard office equipment.
  • Strong understanding of office administration and research coordination practices, including scheduling, logistics planning, and cross-departmental communication.
  • Ability to communicate effectively orally and in writing with a diverse population. Must be detail-oriented and organized.
  • Ability to exercise discretion and ensure a high level of confidentiality.
  • Proficiency in survey tools, data entry, and basic statistical analysis.
  • Ability to establish and maintain effective and harmonious working relations with faculty, staff, students and the general public.
