This position may manage office workflow and establish office procedures in support of the department. The incumbent typically works with a high degree of independence and uses initiative to carry out regular assignments in accordance with established policies and procedures. This position generally reports to the Principal Investigator (PI) and other assigned supervisors.**SUPERVISORY AUTHORITY:**Involves no responsibility or authority for the direction of others.**NATURE AND SCOPE:**Internal contacts generally include administrators, faculty, students and staff. External contacts generally include vendors, consultants, visitors and the general public.**PRINCIPAL ACCOUNTABILITIES**Administrative duties (60%)* Executes directives from the PI and other assigned supervisors to coordinate administrative procedures within department and/or among other offices.* Monitors and analyzes data to track progress and identify trends, ensuring alignment with outreach goals.* Collaborates with the PI, assigned supervisors, clinical trial staff, and community-based organizations to ensure study participants receive timely and comprehensive information about available support services.* Performs data analysis of average difficulty using tables, graphs and basic statistics.* Assists in the creation of promotional materials and communication strategies to ensure continuous awareness and participant retention throughout the study lifecycle.* Coordinates and manages participant follow-up communications, ensuring timely reminders and updates throughout the study, and addressing any questions or concerns to maintain engagement.* Maintains accurate records of outreach activities, engagement metrics, and participant communications for reporting and compliance purposes.* Performs other job-related duties as assigned.* Outreach duties (40%)* Provides outreach and education about clinical trials protocols and/or studies in the community, schools, churches, and other settings.* Develops methods to increase enrollment in current studies by reaching out to the community and internal/external stakeholders.* Provides on-site guidance to visitors and guests for university-related events.* Distributes outreach materials to the community, tracks engagement, and follows up with individuals who express interest by providing additional information and support participation.* Assists in the development and implementation of community partnerships and collaborations, fostering relationships with local organizations, health professionals, and key stakeholders to enhance recruitment efforts and raise awareness of clinical trials.* Coordinates logistics for community outreach events, including scheduling, securing venues, preparing materials, and/or managing registration processes.* Performs other job-related duties as assigned.**CORE COMPETENCIES:*** Advanced knowledge of office and administrative practices and principles.* Skilled in the operation of computers, related software applications (e.g., MS Word, Excel, PowerPoint). Knowledge of standard office equipment.* Strong understanding of office administration and research coordination practices, including scheduling, logistics planning, and cross-departmental communication.* Ability to communicate effectively orally and in writing with a diverse population.
