Job summary

Kootenai Health is seeking an Outpatient Services Coordinator (Medical Receptionist) to coordinate patient scheduling, referrals, and insurance paperwork in our Kootenai Heart Clinics. You will act as the information hub for patient care, handle demographics and insurance data, and ensure accurate billing details while maintaining HIPAA standards.

The role demands strong medical terminology knowledge, confidentiality, and prior outpatient office experience.

Qualifications

• High school diploma or equivalent preferred.
• Experience in medical office preferred.
• Working knowledge of medical terminology, confidentiality, HIPAA and electronic health record systems preferred.
• Two years’ experience as Health Unit Coordinator, Administrative Assistant, Scheduler; or an equivalent combination of related education and experience required.

Responsibilities

• Coordinates scheduling of patients and procedures, referrals, and prior authorizations.
• Functions as communication center for unit/clinic regarding patient care and location.
• Enters orders, procedures, labs and tests for outpatient care when needed.
• Maintains patient demographics and insurance information in scheduling systems.
• Communicates basic financial policies, collects copays, deductibles and self-pay payments.
• Obtains referrals and pre-authorizations as required and processes charges.
• Generates reports and monitors invoices and expense reports.
• Familiar with standard concepts, practices and procedures in the field.
• Relies on experience and judgment to plan and accomplish goals.
• Regular and predictable attendance is an essential job function.
• Competent to meet age-specific needs of the unit.
