Job summary

Randstad USA is seeking an Order Specialist I for a 3-month assignment supporting international operations across the Americas, Europe, Australia, and New Zealand. The role focuses on accurate order processing, invoicing, and data-driven process improvements in a fast-paced environment.

You will collaborate with supply chain, sales, and logistics teams, manage cross-time-zone communication, and help optimize OTIF and customer satisfaction during the peak season.

Position Overview

We are seeking a high-energy, resourceful, and detail-oriented Order Specialist I to join our team for a 3-month temporary assignment supporting international operations across the Americas, Europe, Australia, and New Zealand during our peak season. In this role, you will lead order management activities in a fast-paced, transformational environment, using data to streamline workflows, optimize fulfillment, and drive customer satisfaction.

This position works closely with cross-functional teams and requires effective task prioritization, problem-solving skills, and seamless communication across time zones.

Key Objectives & Accountabilities

• Order Management & Invoicing: Accurately process and manage customer orders from entry through to successful invoicing.
• Fulfillment Optimization: Verify product availability and coordinate closely with supply, demand, and sales teams to improve OTIF (On Time In Full) deliveries.
• Customer & Logistics Coordination: Communicate directly with customers regarding order status, resolve inquiries, and collaborate with logistics and shipping teams for accurate, timely delivery.
• Issue Resolution: Handle order returns, exchanges, and transaction disputes, collaborating with IT for technical resolutions when necessary.
• Process & Data Improvement: Structure and provide data to support process improvement and automation initiatives; identify ways to optimize the end-to-end customer-to-cash workflow.
• Metrics & Reporting: Monitor and report on order metrics and service levels for designated key accounts.
• Cross-Functional Collaboration: Align regularly with sales, supply chain, demand planners, and customer service teams to hit operational targets.

Required Qualifications & Skills

Hard Skills & Knowledge

• Strong analytical capability for data interpretation and operational decision-making.
• Solid understanding of customer-to-cash, supply chain, distribution, and sales processes.
• Proficiency in Microsoft Office, particularly Excel and Power BI.
• Experience with enterprise software such as SAP, CRM, EDI, Salesforce, or supply/demand planning systems (SAP experience strongly preferred).
• Fluency in English (mandatory).
• Familiarity with automation technology tools is a plus.

Work Schedule & Holiday Structure

• Hybrid Setup: On-site in Framingham, MA on Tuesday, Wednesday, and Thursday; remote on Monday and Friday.
• Holiday Schedule: Off Thursday and Friday for Thanksgiving; off for Christmas Day (potential company plant shutdown the week after Christmas).
