Summary

The Operations Team Leader is responsible for oversight, management, and execution of the daily activities of the Account Execution team. This role ensures successful delivery of high quality and client centered transactions. This includes oversight of collecting, analyzing, and approving incoming grants, contributions and other transactional activities related to the maintenance and management of philanthropic accounts for VC account advisors. Activities should be managed through appropriate and effective business rules and procedures, and key metrics deemed relevant by management. The position is also responsible for supervising a staff of direct reports.

Responsibilities

  • Provides direct supervision of staff within the Account Execution Team. The role is accountable for hiring, onboarding, coaching, monitoring, staff assessment, and objective-setting. Maintains an environment of trust, diversity, and inclusion.
  • Provide oversight of team productivity, quality and other metrics related to transactional activity, including pending transactions and monitoring of aged transactions.
  • Manage data collection for the updating of metrics to achieve productivity targets, elimination of errors, and the delivery of excellent client and grantee service.
  • Manages and coordinates workload of the team by overseeing work assignment and queue management.
  • Provide regular reports on team activities, successes, and challenges to senior management
  • Ensures effective communications across the organization in handling and resolving account issues. Responsible for ensuring her team can transition any issues and concerns to the other teams within Operations that handle any escalated issues.
  • Builds and maintains strong relationships across Vanguard Charitable and ensures quality interactions with other departments
  • Remains informed of any key VC policies as well as any regulatory and legislative changes that would impact her teams work. Provides recommendations to her leader as applicable.
  • Participates in special projects and performs other duties as assigned.

Requirements

  • 5+ years related experience with 2+ years demonstrated people leadership experience.
  • Experience in managing workflows, creating team schedules, and delegating tasks.
  • Experience in non-profit grant maker industry strongly preferred.
  • A problem solver who can balance client needs, business needs, and compliance.
  • Works independently with minimal supervision.
  • Able to cultivate strong working relationships with internal colleagues and donors.
  • Exceptional telephone, email, writing etiquette and communication skills required.
  • Strong organizational and time management skills required.
