Job summary

BNY is seeking an Operations Processing Associate to support back-office teams across Investment Management, Banking, Fiduciary and Loan products. The role focuses on account processing, closures, transfers, and fiduciary administration.

Based in Pittsburgh, PA, the position starts onsite and transitions to hybrid after 2–3 months. Working hours are 8:30 AM – 5:00 PM ET, offering exposure to wealth management operations within a regulated financial services environment.

Qualifications

  • 1–2+ years in data entry, banking, or back-office operations (internship experience acceptable).
  • Strong attention to detail with ability to process critical data accurately and timely.
  • Excellent written and verbal communication skills.

Responsibilities

  • Process account closures and transfers across internal platforms.
  • Support fiduciary accounts and lifecycle events.
  • Input and review client data across systems with quality checks.
  • Perform document scanning, filing, and records management.
  • Process mail, checks, and related communications.
  • Assist with cash activities, securities processing, fees, tax docs, and reconciliations.
  • Use Trust 3000 (SEI) and Microsoft Office for workflows.
  • Collaborate with brokers and ops teams to resolve issues.

Job Summary

BNY is seeking an Operations Processing Associate to support multiple back-office teams servicing Investment Management, Banking, Fiduciary, and Loan products across the full lifecycle of client accounts. This role is primarily focused on account processing activities, including account closures, portfolio transfers, fiduciary administration support, and operational record management.

This position is based in Pittsburgh, PA. The role will begin fully onsite and transition to a hybrid schedule (4 days onsite) after approximately 2–3 months. Working hours are 8:30 AM – 5:00 PM ET.

Key Responsibilities
  • Account Processing & Closures: Process account closure requests for wealth management accounts, ensuring accurate system updates and proper documentation handling. Manage portfolio transfers and account movements across internal platforms.
  • Fiduciary & Fast-Track Support: Support fiduciary accounts (trusts and estates) and agency/IRA/IMA accounts, handling operational activities related to account maintenance and lifecycle events.
  • Data Entry & Quality Control: Accurately input and review sensitive client information across multiple systems, ensuring completeness and minimizing errors prior to control review.
  • Document & Records Management: Perform document scanning, filing, vault maintenance, and records management activities in accordance with internal policies and regulatory requirements.
  • Mail & Payment Processing: Process incoming and outgoing mail, including checks, proxies, loan documentation, client statements, and related communications.
  • Reconciliations & Operational Support: Assist with cash activities, securities processing, fees, tax-related documentation, loan origination/advances/payments, deposits, accounting entries, and reconciliations as assigned.
  • System Utilization: Utilize internal systems including Trust 3000 (SEI) and Microsoft Office tools to manage workflow queues and account loads.
  • Cross-Functional Collaboration: Work closely with internal partners, brokers, and operations teams to resolve account issues, raise exceptions when necessary, and meet service deadlines.
Qualifications
  • 1–2+ years of experience in data entry, banking, financial services, or back-office operations (internship experience acceptable)
  • Strong attention to detail with ability to process critical data accurately and timely
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to prioritize multiple tasks in a changing environment
  • Ability to work independently and collaboratively within a team setting
  • Proficiency in Microsoft Office Suite
  • Ability to operate effectively in a deadline-driven, high-volume processing environment
  • High School diploma required; Associate’s or Bachelor’s degree in Accounting, Finance, Business, or related field preferred
Preferred Experience
  • Exposure to fiduciary services, trusts, or estate administration
  • Prior experience in financial services operations or banking environments
  • Experience supporting account maintenance, transfers, or closures
  • Familiarity with workflow or ticketing-style systems
