Gothic Landscape in Tempe, AZ, is seeking an Operations Administrator to support our Offsites Department. You will prepare proposals, manage change orders, and oversee monthly billing processes.

You will coordinate project close-outs, generate weekly and monthly reports, and align with area managers to keep schedules and forecasts on track. Proactive communication with clients, vendors, and teams is essential.

Qualificações

• Bilingual Spanish is required.
• Experience with Microsoft Office is required.
• Payroll experience with Sage/Timberline is highly preferred.
• Must be detail-oriented and highly organized.
• Demonstrates accuracy and quality control; monitors own work.

Responsabilidades

• Prepare and follow-up on proposals for additional/extra work.
• Manage and maintain Extra Work/Change Order logs to ensure that each is submitted and billed appropriately and timely.
• Manage and maintain monthly billing submittals to accounting and corresponding logs.
• Coordinate close out documentation to turn over projects to clients.
• Run all weekly and monthly operations reports.
• Regular meetings with area managers for dept needs and schedules.
• Maintain monthly projections and forecasts.
• Facilitate flow of information between all parties, including clients, vendors, subcontractors, other departments and field personnel.
