Job summary

Hispanics in Philanthropy (HIP) is a transnational network of grantmakers focused on strengthening Latino communities across the Americas. The Operations Associate based in HIP’s Oakland office will support office operations, develop systems for efficient workflows, and assist with local and regional events.

The role collaborates with programs, finance, development, communications, and membership teams in the US and Mexico, handling admin tasks, HR activities, and technology needs to improve

Qualifications

• 3+ years of experience in operations and office management.
• Strong organizational skills, detail oriented, and the ability to consistently meet deadlines.
• Self-starter with high professional and ethical standards.
• Ability to manage high-pressure situations and respond to the unexpected.
• Familiarity with Mac and PC environments; tech problem solving aptitude.
• Experience in multicultural or international environments.

Responsibilities

• Support Programs team with operations and administrative tasks including expense reports, budgets, emails, scheduling, and events.
• Manage office operations: mail, visitor reception, phones, space oversight, and supplies.
• Oversee HIP’s technology needs; budget for hardware/software and liaise with IT.
• Administer software platforms (G-Suites, Asana, Slack, Zoom, Mailchimp, MS Office, Adobe, Salesforce).
• Support HR activities: posting jobs, coordinating interviews, and HR tasks.
• Support event planning and outreach with partners.
