Job summary

Hispanics in Philanthropy (HIP) seeks an Operations Coordinator in our Oakland office for a 2–3 month coverage period. The role supports Programs, Finance, Development, Communications, and Membership teams across the U.S. and Mexico, handling logistics, scheduling, and vendor coordination.

Responsibilities include event planning, budget tracking, invoices, and data analysis, with a focus on building systems, improving processes, and ensuring smooth operations for a transnational organization.

Qualifications

  • 2-3+ years of experience in project coordination, with success managing multiple projects at the same time.
  • Strong organizational skills, detail oriented, and the ability to consistently meet deadlines.
  • Self-starter with high professional and ethical standards and a good sense of humor.
  • Ability to manage high-pressure situations and respond to the unexpected.
  • Accuracy and clarity in all writing, research, and editing tasks.
  • Excellent communication skills to keep busy team members and supervisor apprised of project status and challenges as they arise.
  • Familiarity with Google Suite and Salesforce preferred.
  • Prior grant writing experience a plus.
  • Prior experience processing corporate and foundation sponsorships a plus.
  • Bachelor’s degree or equivalent experience preferred
  • Bilingual English/Spanish preferred, but not essential

Responsibilities

  • Assist Programs staff with correspondence, meeting scheduling, and meeting technology.
  • Participate in coordination, implementation, and follow through for donor and/or grantee partner events, including registration and logistics, payment management, editing, and vendor management.
  • Support tracking of Programs budgets, including contracts with consultants, invoices, funds allocation, and monthly reconciliations.
  • Support Membership tasks: tracking membership lists, researching potential members, updating Salesforce lists.
  • Contribute to internal and external communications activities, including editing and list management.
  • Run tracking and other analytical reports as needed.
  • Assist Development, Membership, and Finance on tasks like tracking donor records in Salesforce/Drive.
  • Process and coordinate payments and checks, recording grants, memberships, donations.
  • Help liaise between Programs and Finance to track staff expense reports.
  • Ensure donors are thanked promptly for grants/donations.
  • Support research for Development as needed.
  • Maintain records, ensure accuracy, and support event logistics.
  • Support services for events with remote staff or travel across regions.
  • Maintain office operations and assist with cross-team coordination.
