Job Summary

The Manager of Operations, Release of Information has an overall responsibility to ensure all required tasks are performed in a consistent, timely, and highly professional manner. The Manager of Operations ensures objectives, principles, values, mission, and foundation are clearly stated. The position also ensures that operational activities are strategically organized and focused on achievement of regional and company-wide cultural and operational goals. This role emphasizes employee engagement and development, work quality, operational efficiency, long and short-term planning, customer-oriented thinking, and P&L profitability. The Manager of Operations will work closely with the Director of Operations and other leaders to implement processes that ensure an exemplary member experience and market-leading performance quality. This role requires up to 25% travel.

Essential Job Functions

Organizational Leadership

  • Set the tone and vision for the team, leading with compassion, respect, accountability, and innovation.
  • Organize, lead, and participate in client meetings to ensure programs and services meet or exceed expectations.
  • Lead a team of release of information specialists to achieve goals efficiently and profitably.
  • Demonstrate strong leadership skills through delegation, decision-making, and development of team members.
  • Coordinate with regional counterparts to standardize processes.
  • Establish performance parameters and guidelines to meet objectives.

Employee Responsibilities

  • Hire, retain, and develop talent; provide clear direction and accountability; coach and mentor employees; maintain core values and culture.
  • Ensure daily onsite coverage and backup coverage when needed.
  • Adhere to time and attendance standards.
  • Collaborate with domestic and global partners to maintain quality standards, SOPs, and training.
  • Conduct weekly 1-on-1 meetings with direct reports.

Client Responsibilities

  • Implement new client projects and manage customized initiatives.
  • Coordinate and attend calls, respond promptly to client and internal communications.
  • Prepare monthly reports for senior leadership.
  • Maintain and update process instructions and conduct client-specific training.
  • Partner with Solutions and IT teams to troubleshoot connectivity issues.
  • Monitor daily tracking, respond to client concerns regarding delivery and quality.

Financial Management

  • Assist in annual budgeting and fiscal planning.
  • Analyze financial performance and seek opportunities for growth.

Customer Service Responsibilities

  • Strengthen existing client relationships.
  • Identify growth opportunities and develop new relations.
  • Coordinate with Client Success to ensure customer satisfaction.

Physical Requirements

  • Ability to sit or stand for long periods.
  • Lift and carry up to 25 lbs.
  • Effective speaking and hearing abilities.
  • Visual and hand-eye coordination.

HIPAA/Compliance

  • Maintain confidentiality of patient, employee, and volunteer information.
  • Comply with regulations regarding integrity and security.
  • Report unethical or unlawful activities.
  • Maintain current HIPAA certification.

Qualifications

  • Bachelor’s degree and prior experience preferred.
  • Team-oriented with high proficiency in Microsoft Office.
  • Ability to work in a fast-paced environment, meet deadlines.
  • Excellent communication and negotiation skills.
  • Detail-oriented with strong analytical and problem-solving skills.
  • Ability to handle confidential information professionally.
  • Availability to travel as needed, including overnight stays.
