Job summary

Both is growing and we need an operations manager who can own the infrastructure behind the creative work. You will coordinate project management, client and vendor relations, scheduling, invoicing, and the day-to-day tasks that keep a studio running smoothly.

You’ll focus on removing friction so the creative team can deliver, track project status, due dates, and prevent things from slipping through the cracks while maintaining discretion and professionalism with clients and stakeholders.

Qualifications

  • 2+ years in operations, project management, or studio coordination.
  • Obsessive organizational instincts; you track everything.
  • Strong written communication; client facing regularly.
  • Experience with project management tools such as Notion, Asana, or Monday.

Responsibilities

  • Own project management across all active client engagements; manage timelines and deliverables.
  • Coordinate between creative team members, freelancers, and external vendors.
  • Manage client communications; schedule calls, provide updates, align expectations.
  • Handle invoicing, payment tracking, and basic financial operations.
  • Build and maintain operational systems; templates, workflows, SOPs for scale.
  • Manage tools and platforms (Notion, Google Workspace, PM software).
  • Coordinate production logistics: shoot scheduling, location scouting support, equipment rentals, travel.
  • Support new business operations: proposal formatting, contracts, CRM maintenance.

Overview

Both is growing and we need someone to make sure the machine runs clean. We need an operations manager who can own the infrastructure behind the creative work. Project management, client coordination, vendor relationships, scheduling, invoicing, and the hundred small things that separate a studio that delivers from one that doesn't.

This role isn't about process for the sake of process. It's about removing friction so the creative team can focus on the work. You'll be the person who knows where every project stands, what's due when, and what's about to fall through the cracks before it does.

Key responsibilities
  • Own project management across all active client engagements. Timelines, deliverables, status tracking.
  • Coordinate between creative team members, freelancers, and external vendors.
  • Manage client communications. Scheduling calls, sending updates, keeping expectations aligned.
  • Handle invoicing, payment tracking, and basic financial operations.
  • Build and maintain operational systems. Templates, workflows, SOPs that scale as we grow.
  • Manage tools and platforms. Notion, Google Workspace, project management software.
  • Coordinate production logistics. Shoot scheduling, location scouting support, equipment rentals, travel.
  • Support new business operations. Proposal formatting, contract preparation, CRM maintenance.

  • Strong written communication. You'll be client facing regularly.
  • Experience with project management tools. Notion, Asana, Monday, or similar.
  • Comfort with financial basics. Invoicing, budgets, payment follow ups.
  • Ability to juggle multiple projects without dropping quality on any of them.
  • You're proactive, not reactive. You flag problems before they become emergencies.
  • Discretion and professionalism. You'll have visibility into financials, client relationships, and business strategy.
