Job summary

DTJ DESIGN is seeking an Operations Manager to lead day-to-day operations of the firm and support administrative staff across remote offices. This high-visibility role partners with Partners and the President/CEO to optimize contracts administration and facilities management.

You will oversee lease and space planning, manage purchasing, track vendor performance, and improve processes. The ideal candidate has a business background, strong leadership, and excellent communication, with proficiency

Qualifications

  • Bachelor's degree or higher in business management or related field (preferred).
  • Technically savvy with best practices in a corporate environment.
  • Ability to interface with all staff levels.
  • Excellent managerial and supervisory skills.
  • Extensive knowledge of operations and business management.
  • Ability to interpret financial data to set production or efficiency goals.
  • Excellent organizational and written/verbal communication skills.
  • Proficient in Microsoft Office Suite or similar software.
  • Strong commitment to the company’s mission and values.

Responsibilities

  • Manages the Contracts Administration process including reviews, edits, and formatting contracts. Recommends edits to protect DTJ Design’s interests.
  • Oversees Harbor compliance process for Company Business Licenses and Individual Professional Licenses.
  • Manages facilities for offices including Lease Management and Capital project planning.
  • Liaison with Building Property Management team; Commercial Realtors as needed.
  • Manages purchasing activities including supplies and other facility needs.
  • Discover and evaluate opportunities to create initiatives aligned with the company’s goals.
  • Coordinate diverse teams to foster exchange of ideas and cross-team learning.
  • Identify problems and provide solutions to maximize efficiency and revenue.
  • Develop, implement, enforce, and evaluate policies and procedures; oversee large equipment contracts and maintenance.
  • Analyze and improve organizational processes, space requirements, and equipment layout.
  • Serve as liaison with utilities and local government agencies; manage relationships with key vendors.
  • Track vendor pricing, rebates, and service levels.
  • Collaborate with HR and leadership to implement policies and systems.

The Operations Manager will lead and direct the overall day-to-day operations of DTJ Design and provide oversight and support to the administrative staff and functions of remote offices. This high visibility role will also manage the Contracts Administration process and work closely with all the Partners of the firm, as well as the President and CEO.

Key Responsibilities:
  • Manages the Contracts Administration process to include reviewing, tracking, editing, and formatting contracts, including AIA as well as DTJ or client generated contracts. Recommends and performs edits to improve or enhance contracts as well as protect DTJ Design’s interests. Ensures executed contracts are shared with all appropriate parties and stored correctly.
  • Oversees Harbor compliance process for Company Business Licenses and Individual Professional Licenses.
  • Manages facilities for offices to include:
  • Lease Management; Lease administration
  • Capital project planning and management
  • Employee space planning
  • Liaison with Building Property Management team; Commercial Realtors as needed
  • Manages or assists in purchasing activities including supplies and other facility needs.
  • Discover and evaluate opportunities to create initiatives that further the company’s overall goals.
  • Coordinate diverse teams to foster an exchange of ideas and provide cross-team learning opportunities
  • Identify potential problems and points of friction to find solutions in order to maximize efficiency and revenue.
  • Contribute operational information and recommendations to strategic plans and reviews; prepare and complete action plans
  • Develop, implement, enforce, and evaluate policies and procedures; Oversee large equipment contract needs and maintenance.
  • Analyze and improve organizational processes and workflow, employee and space requirements, and equipment layout; implement changes as needed.
  • Serves as primary liaison with utilities and local government agencies, such as fire, police, health, and safety agencies.
  • Manage relationships with key operations vendors.
  • Track vendor pricing, rebates, and service levels.
  • Works closely with HR and leadership team to set and/or implement policies, procedures, and systems and to follow through with implementation.
  • Other duties as assigned.
