This role ensures our homes are well maintained, our teams follow through, our owners receive clear communication, and our properties are ready for arriving guests. You will coach team members, manage priorities, resolve escalations, and hold teams and vendors accountable for timely, high-quality work.
The ideal candidate is comfortable moving between people management, work order oversight, owner conversations, and property readiness. Success requires strong judgment, consistent follow-up, and the ability to help a team solve problems independently.
Key Responsibilities
Team & People Management

- Set clear expectations for communication, responsiveness, work quality, and task completion.
- Review workloads, staffing, and coverage to ensure priorities receive timely attention.
- Coach team members through challenges, address performance gaps, and build independent decision-making within established guidelines.
- Own onboarding and ongoing training for these teams.
- Maintain practical SOPs, training materials, and playbooks that support consistent execution.
- Ensure every open issue has a clear owner, next step, and follow-up timeline.
Maintenance Operations & Vendor Management
- Oversee maintenance from initial request through scheduling, completion, documentation, and follow-up.
- Ensure teams prioritize life safety concerns, active guest needs, and upcoming move-ins appropriately.
- Monitor aging work orders, overdue follow-ups, scheduling delays, and recurring issues; intervene when progress stalls.
- Hold internal technicians and external vendors accountable for responsiveness, workmanship, documentation, and agreed timelines.
- Source, onboard, and maintain reliable vendor relationships across service areas.
- Ensure estimates, approvals, invoices, and completion notes are accurate and handled within company guidelines.
- Coordinate with PMs on guest access, owner approvals, repair updates, and resolution of maintenance concerns.
Property Management & Owner Relations
- Oversee PM and PMA execution to ensure consistent care of homes and timely support for owners and guests.
- Hold teams accountable for proactive, accurate owner communication regarding repairs, expenses, property condition, and unresolved concerns.
- Serve as an escalation point for complex owner issues, service concerns, and situations requiring additional judgment.
- Help team members explain recommendations, set realistic expectations, and follow through on commitments.
- Review owner-facing communications and reporting for clarity, accuracy, and completeness.
- Coordinate across departments to resolve issues affecting owner satisfaction or property performance.
Unit Turns & Property Readiness
- Oversee the Unit Turn team and the process from guest departure through move-in readiness.
- Ensure inspections, cleaning, maintenance, replacements, and final readiness checks are coordinated and completed on time.
- Monitor upcoming departures and arrivals to identify risks early and prevent avoidable delays.
- Ensure teams document property condition, completed work, outstanding items, and applicable charges accurately.
- Oversee timely deposit accounting and required supporting documentation within company deadlines.
- Coordinate with Reservations and Property Management when property condition or unfinished work affects availability, tours, or move-ins.
- Identify recurring turn issues and improve planning, vendor execution, and quality standards.
Operational Performance & Process Improvement
- Use dashboards and operational systems to monitor team performance and identify bottlenecks.
- Track maintenance completion times, aging work orders, turn timelines, property readiness, owner response times, and vendor performance.
- Review spending, estimates, and invoices for accuracy and adherence to approved budgets.
- Improve workflows, handoffs, and documentation to reduce missed follow-ups and unnecessary costs.
- Maintain accurate, current records in Salesforce and other company systems.
