Job description

Borboleta Beauty is a rapidly growing professional beauty brand specializing in high-quality products for lash & brow artists. We sell through direct-to-consumer, professional distribution, retail & marketplace channels, & we are committed to delivering an exceptional customer experience while expanding our reach. We are looking for a detail-oriented, resourceful & solution-focused Operations Coordinator to help us build & run the day-to-day systems behind a growing operation.

ROLE DESCRIPTION

Serving as a crucial hub for day-to-day execution, the Operations Coordinator ensures strict data integrity, seamless order fulfillment, & high product standards. By auditing ERP inputs, supervising fulfillment channels, coordinating quality control, & proactively surfacing inventory bottlenecks, this position protects daily workflows & maintains operational continuity.

In this position, you will be creating systems from the ground up. Numerous operational workflows require initial setup or further optimization, so success requires thriving without an established manual. We need a proactive problem solver capable of refining rough procedures, creating clear documentation, & executing daily routines seamlessly. When encountering unfamiliar challenges, you investigate resourceful solutions, consult stakeholders thoughtfully & propose concrete recommendations to keep operations moving forward.

This role reports to the Sr. Operations Manager & works closely with our operations team, our demand planning partner, sales, customer service & our third-party logistics provider.

KEY RESPONSIBILITIES
ERP Management & Data Integrity
  • Audit & maintain data integrity in our ERP daily, including cancelled orders, receiving data & closing out shipped orders.
  • Audit receiving entered by the operations team against purchase orders, packing lists & carrier documentation, & resolve discrepancies while they are still easy to correct.
  • Catch & correct data errors before they reach inventory counts, financial reporting or customer-facing commitments.
  • Flag item, kit or inventory setup errors to the appropriate owner for correction.
Order Flow
  • Manage & monitor order flow across all sales channels.
  • Work with sales to resolve order challenges & clear blockers.
  • Follow up with our third-party logistics provider when orders have not shipped within standard processing times.
  • Monitor account-specific ship-by & delivery windows to protect against chargeback exposure.
  • Identify recurring order issues & propose fixes rather than working around the same problem repeatedly.
Quality Control
  • Notify & coordinate with internal teams & suppliers, so QC is completed on all relevant purchase orders.
  • Complete QC on kit jobs & orders when necessary.
  • Ensure batch numbers & expiry dates are documented, provided to our third-party logistics provider & retained internally, so that lot traceability can be verified or audited at any time.
  • Ensure QC results are well documented & accessible.
  • Track product complaints & flag trends so we can address them in timely manner
Inventory & Purchasing Support
  • Monitor inventory levels & raise the flag when coverage falls below two months before an open purchase order is due to ship.
  • Partner with our demand planning partner & operations team on purchase order placement & production status follow-up. Purchasing recommendations are made by our demand planning partner & approved by the Sr. Operations Manager.
  • Maintain internal visibility on open purchase orders & inbound timing. Where a date slips or a follow-up is needed, flag it internally & direct the right person to act so nothing sits waiting.
  • Support the cycle count program: issue count schedules to our third-party logistics provider, chase results, reconcile variances & ensure adjustments are made on time.
  • Support year-end physical inventory preparation & reporting.
Process Documentation & Improvement
  • Write, maintain & refine SOPs across ERP, order flow, quality control & inventory processes.
  • Build out processes that do not exist yet, in partnership with the Sr. Operations Manager.
  • Look for the root cause behind recurring problems & bring forward practical solutions.
SKILLS & COMPEENTENCIES
  • Collaborative by default, with the communication skills to work across sales, marketing, customer service, operations, & outside partners.
  • Solution-oriented. Comes to the table with a recommendation, not just a problem.
  • Resourceful & willing to figure things out. Does not stop when something is unfamiliar, & asks for help at the right moment rather than too late.
  • Creative problem solver who can look at an existing process & see a better way to run it.
  • Exceptional attention to detail, with the discipline to hold a daily routine consistently.
  • Strong organizational & time-management skills, with the ability to manage competing priorities in a fast-paced, growing environment.
  • Comfortable holding outside partners & internal teammates accountable to commitments while keeping relationships strong.
  • Self-directed & accountable, with the judgment to know what needs to be escalated & what can be handled.
QUALIFICATIONS
Required
  • Strong analytical skills to interpret data, track performance metrics, & support process improvements.
  • Clear & professional communication skills for cross-functional collaboration & customer-facing interactions.
  • Experience with operations management, including coordination of orders, inventory, & logistics.
  • Customer service skills with a focus on responsiveness, problem-solving, & relationship-building.
  • Administrative assistance skills, including accurate data entry, document organization, & scheduling.
  • Proficiency with productivity tools & software (e.g., spreadsheets, CRM or ERP systems, project management tools).
  • Strong organizational skills, attention to detail, & ability to manage multiple priorities in a fast-paced environment.
  • Previous experience in beauty, retail, or e-commerce operations is beneficial.
  • High school diploma or equivalent required; post-secondary education in business, operations, or a related field is a plus.
Nice To Have
  • Experience in consumer goods, personal care or cosmetics.
  • Experience working with a third-party logistics provider.
  • Experience with lot-controlled, batch-tracked or expiry-dated inventory.
  • Familiarity with EDI order flows.
  • Quality control or quality documentation experience.
  • Experience supporting cycle counts or physical inventory counts.
WHY BORBOLETA?
  • Real ownership. You will not be inheriting someone else's finished process. You will be building & improving the systems this company runs on.
  • Direct visibility & a short path to leadership. This role reports to the Sr. Operations Manager & works with the whole operations function.
  • Be part of a passionate, collaborative & growing team that values your contribution.
  • Significant opportunity for growth & advancement.

If you are a detail-driven operator who likes bringing order to a fast-moving business & wants room to build, we would love to hear from you.
