Purpose
The Operations Coordinator supports the logistical and administrative needs of Business Operations, ensuring efficient coordination of events, travel, and resources across multiple racing series. This role facilitates seamless operational support, accurate scheduling, and effective communication between teams and stakeholders to ensure successful event execution.

Position Requirements:
  • Coordinate operational logistics for scheduled events across NASCAR, IMSA, and IndyCar series (responsibilities may shift based on business needs).
  • Enter accurate crewing information and maintain updated event schedules.
  • Coordinate and confirm travel details and communicate itineraries and job-related information to staff in a timely manner.
  • Assist in compiling and distributing production or event-related information (e.g., event books, documentation).
  • Support financial tracking by maintaining event-related estimates and reconciling billing reports.
  • Assist in reviewing event contracts for operational requirements and basic compliance needs.
  • Document and track expenses with appropriate approvals, ensuring accuracy in reconciliations.
  • Serve as a liaison between Business Operations, Field teams, and internal departments.
  • Support logistics planning in coordination with internal partners and clients as directed.
  • Participate in operational meetings and provide relevant updates to leadership and stakeholders.
  • Maintain records related to operational tasks, including schedules, billing support, and event logistics.
  • Track and report on missing or damaged equipment and follow up with support teams.
  • Assist with acquiring documentation for events (permits, passports) when needed.
Work Location & Flexibility

This role is primarily based on-site to support the operational and collaborative needs of the Business Operations team. Flexibility for hybrid or remote work may be offered, but is discretionary and based on business needs, event schedules, and leadership approval. Regular on-site presence should be expected.

Position Requirements:
  • Technical or Bachelor’s degree in Communications, Sports or Event Management, Business or related field desired, but a combination of education and experience will be considered.
  • 3+ years experience in Event Planning, Logistics, and Project Coordination required.
  • Crewing experience is a plus.
  • Knowledge of broadcast management, technology, equipment, facilities, and live production for major networks is desirable.
  • Skills in professional communication and ability to interact with a wide range of individuals.
  • Attention to detail, organizational skills, and ability to multi-task and meet deadlines.
