Job Description

The Operations Coordinator provides operational support for departmental facilities, information technology resources, and administrative functions. This position serves as a central point of coordination for day-to-day office operations, ensuring employees have the workspace, equipment, and resources needed to perform their work effectively. The coordinator partners with Facilities Management, Enterprise Technology (ET), Human Resources, and departmental leadership to facilitate onboarding, office moves, equipment deployment, and operational continuity.

Salary Range

$51,500 to $60,000; DOE

Essential Duties
Facilities Coordination
  • Coordinate office space assignments and workstation setup.
  • Arrange furniture moves and office reconfigurations.
  • Submit and monitor facilities work orders.
  • Coordinate building access and key requests.
  • Track office occupancy and workspace utilization.
  • Assist with office relocations and departmental moves.
  • Update office signage.
IT Coordination
  • Coordinate computer and technology requests for new and existing employees.
  • Serve as departmental liaison with Enterprise Technology (ET).
  • Coordinate equipment replacements and upgrades.
  • Assist with technology inventory and asset audits.
  • Coordinate software licensing requests as needed.
  • Facilitate return of equipment during employee separations.
Employee Onboarding & Offboarding
  • Coordinate operational onboarding activities for new employees.
  • Prepare workspaces prior to employee start dates.
  • Ensure computers, monitors, phones, and office equipment are available.
  • Coordinate building access and security permissions.
  • Coordinate employee departures by: collecting equipment terminating access requests updating workspace assignments
Operations Support
  • Maintain departmental operational procedures and documentation.
  • Coordinate vendor visits and service appointments
  • Assist with procurement of operational equipment and supplies.
  • Monitor operational budgets for facilities and equipment purchases.
  • Support emergency preparedness and business continuity activities.
  • Assist with business operations events requiring facility or technology coordination.
Customer Service
  • Respond to employee operational requests.
  • Troubleshoot routine facilities and technology coordination issues.
  • Serve as liaison between department personnel and central university service providers.
  • Communicate project updates and operational changes to staff.
Administrative Support for Business Operations Team
  • Coordinate day-to-day administrative activities.
  • Maintain files, records, calendars, and documentation.
  • Monitor office supply inventories and coordinate purchasing.
  • Coordinate travel arrangements and expense reporting.
  • Identify opportunities to streamline administrative processes and improve service.

Working Environment

Frequent physical demands may include stooping, bending, crawling under/around objects, reaching, lifting and pushing objects of varying weights up to 50 pounds (medium)

May be required to perform tasks in the field within and/or across University campuses

Position Details

In-person position only

Position may involve shared offices/space

This position is full-time, and the incumbent must be available Monday - Friday, 8am-5pm.

The primary work location is the Downtown Phoenix campus, but a presence on other campuses or at off-campus locations may be required
