Reckart Logistics is looking for a driven, organized, and proactive Operations Coordinator to support a growing book of business.
This person will work closely with a team to manage the execution of customer shipments and ensure freight moves smoothly from pickup through delivery. You will be a key point of communication between carriers, drivers, customers, and internal team members - tracking shipments, identifying potential issues, keeping information accurate, and helping solve problems before they impact the customer.
The ideal candidate is someone who takes ownership, communicates well, stays organized in a fast-moving environment, and is always thinking one step ahead.
The goal of this position is simple: provide excellent operational execution and customer service while creating capacity for the broker to continue growing the business.
Manage Freight Operations:
- Support the execution of customer shipments from booking through final delivery.
- Monitor active loads and ensure shipments are progressing according to plan.
- Perform check calls and utilize available tracking tools to maintain accurate shipment status.
- Confirm pickups, deliveries, appointment times, and other critical shipment details.
- Maintain accurate and timely load notes within the Transportation Management System (TMS).
- Ensure carriers and drivers have the information necessary to successfully complete each shipment.
- Coordinate with internal team members to ensure continuity on shipments that remain active outside your working hours.
Stay Ahead of Problems:
- Proactively identify potential delays, missed appointments, tracking issues, equipment problems, weather disruptions, or other shipment risks.
- Communicate with carriers and drivers to understand issues and determine next steps.
- Work with the broker and other team members to resolve problems quickly and minimize customer impact.
- Escalate significant service issues when necessary while remaining engaged through resolution.
- Anticipate potential problems rather than waiting for a customer or teammate to identify them.
Communication With Customers & Carriers:
- Build strong working relationships with carriers, drivers, customers, and internal team members.
- Provide clear, professional, and timely shipment updates.
- Follow up consistently when information is missing or a shipment is not progressing as expected.
- Help ensure customers receive accurate information without needing to repeatedly request updates.
- Represent the company professionally in every interaction.
Maintain Accurate Documentation:
- Document shipment updates, delays, accessorial, appointment information, and other relevant details in the TMS.
- Obtain proof of delivery documents and other required shipment paperwork.
- Help document detention, layovers, lumpers, truck ordered not used, and other accessorial charges when applicable.
- Maintain organized and complete shipment records to support accurate billing and customer reporting.
- Ensure active shipments are clearly documented so another team member can seamlessly take over when needed.
Support Operational Continuity:
- Review active shipments and identify loads requiring additional follow-up or attention.
- Keep tracking information, shipment notes, and special instructions current.
- Clearly communicate known risks, delays, customer expectations, and unresolved issues to the appropriate team members.
- Provide thorough handoffs for shipments that will continue to move after your shift.
- Make sure the team taking over a shipment understands where the load is, what needs to happen next, and any issues that require attention.
Qualifications:
- 1+ years of experience in supply chain logistics, transportation, dispatch, customer service, or a related field preferred.
- Freight brokerage or third-party logistics experience is a plus.
- Strong verbal and written communication skills.
- Excellent organizational and time-management skills.
- Strong attention to detail and ability to maintain accurate records.
- Ability to multitask and prioritize in a fast-paced environment.
- Comfortable communicating by phone, email, and transportation management systems throughout the day.
- Experience with a TMS, load boards, freight tracking platforms, Microsoft Office, or Google Workspace is helpful.
- High school diploma or equivalent required.
