Job summary

The role focuses on hazardous waste manifests, DOT/HAZWOPER-related records, payroll reconciliation, and maintaining accurate project data in HubSpot. The ideal candidate has 2+ years in administrative or compliance roles, strong Excel skills, and clear communication.

Qualifications

  • 2+ years in administrative, compliance, or operations support in regulated industries.
  • Strong organizational skills with ability to manage multiple deadlines and data accuracy.
  • Proficiency with Microsoft Office, especially Excel.
  • Clear written and verbal communication; discretion with payroll and compliance data.
  • Familiarity with hazardous waste manifesting (RCRA) and OSHA recordkeeping a plus.
  • Experience with EPA e-Manifest/RCRAInfo or HubSpot is a plus.

Responsibilities

  • Prepare, track, and reconcile hazardous waste manifests and EPA e-Manifest submissions.
  • Maintain DOT shipping papers, driver files, and vehicle records.
  • Manage OSHA records and track employee training and certifications.
  • Reconcile timesheets and payroll including prevailing-wage requirements.
  • Collaborate with project managers to keep HubSpot project data accurate and current.
  • Track insurance certificates, subcontractor documents, and permit renewals.
  • Support Senior Project Managers on small emergency response projects, including invoicing and field-office coordination.

We specialize in petroleum remediation, contaminated soil excavation, tank cleaning and closure, emergency spill response, hazardous waste disposal, and asbestos remediation. We support public, federal, and private clients across the region, and the documentation behind that work has to be accurate, timely, and audit-ready.

ABOUT THE ROLE

We're looking for a detail-driven Operations & Compliance Coordinator to keep the documentation engine of our projects running smoothly. This role sits at the intersection of regulatory compliance, project administration, and back-office support — owning hazardous waste manifest and transportation records, maintaining health and safety documentation, reconciling payroll (including certified/prevailing-wage jobs), and partnering with project managers in HubSpot to keep project data accurate and current.

WHAT YOU'LL DO

  • Prepare, track, and reconcile hazardous waste manifests, including EPA e-Manifest/RCRAInfo submissions
  • Maintain DOT shipping papers, driver qualification files, and vehicle records
  • Maintain OSHA injury/illness records and track employee training/certification status (HAZWOPER, confined space, DOT/hazmat, CDL, first aid/CPR)
  • Reconcile timesheets and payroll, including certified/prevailing-wage and Davis-Bacon payroll
  • Partner with project managers to keep deals and project records current in HubSpot
  • Track certificates of insurance, subcontractor/vendor compliance documents, and permit renewals
  • Support Senior Project Managers on small-scale emergency response projects as a Junior PM, including invoicing support and field-to-office coordination

WHAT WE'RE LOOKING FOR

  • 2+ years in administrative, compliance, or operations support (environmental services, construction, transportation, or another regulated industry preferred)
  • Strong organizational skills and attention to detail; comfortable managing multiple recurring deadlines
  • Proficiency with Microsoft Office, especially Excel
  • Clear written and verbal communication; discretion with sensitive payroll and compliance data
  • Familiarity with hazardous waste manifesting, RCRA, DOT, and/or OSHA recordkeeping a plus
  • Experience with EPA e-Manifest/RCRAInfo, certified/prevailing-wage payroll, or HubSpot a plus
  • Working knowledge of MassDEP and/or NHDES requirements a plus

WHAT WE OFFER

  • Competitive pay: $60,000–$78,000/year, commensurate with experience
