Responsibilities

  • Prepare and process daily and weekly carrier invoices for payment.
  • Audit carrier paperwork and trip data against dispatch details.
  • Post carrier pay including mileage, hourly/daily, and other pay types.
  • Audit weekly payment data for accuracy.
  • Maintain professional relationships with carriers and logistics teams.
  • Assist carriers with payment inquiries and paperwork needs.
  • Onboard carriers and maintain their paperwork/files.
  • Support other departments with paperwork search, auditing, research, and carrier contact.
  • Track payments and deductions to GL accounts.
  • Collaborate with accounting to resolve issues.
  • Record weekly payments for reporting; assist indexing/scanning tasks.
  • Perform related duties as assigned.

Job Summary: The Carrier Relations Representative is responsible to prepare and process daily and weekly invoices from carriers for payment. This position will assist the Carrier Relations Supervisor with other carrier related duties

Essential Job Functions:

Audits all carrier paperwork and trip information against dispatch for payment purposes.

Posts all carrier pay, including but not limited to the following: mileage pay, miscellaneous pay for trips, hourly and/or daily pay, any other special pay

Audits payment information weekly to ensure accuracy

Follows company policies regarding carrier pay

Cultivates and sustains professional relationships with carriers and logistics teams, handling matters related to policies, paperwork training, and addressing issues

Assists carriers with inquiries on payment, paperwork, and other payment-related needs

Assists with carrier onboarding and maintaining carrier paperwork and files

Support other departments in locating paperwork, auditing, research, and contacting carriers

Track payments and deductions and ensure deductions go into the correct GL accounts

Work closely with accounting department to resolve issues

Record keeping of weekly payments for reporting purposes

Assists with the indexing/scanning departmental duties when needed

Performs other related duties as assigned

Qualifications:

Required:

High school diploma or equivalent

Valid Driver’s license in state of residency with acceptable driving record

Must be able to pass a pre-employment drug test and submit to the company random drug and alcohol program

Communicate effectively and professionally with all levels of internal and external staff

Manage multiple tasks independently to meet deadlines

Proficiency in basic computer skills including Microsoft Office applications specifically Excel, Google Workspace, and 10 key

Ability to learn and adapt to new technology relating to office practices and procedures

Maintain confidentiality of sensitive information

Ability to plan, organize, and prioritize work

Excellent organizational skills and attention to detail

Ability to thrive in a fast-paced and ever-changing environment

Preferred:

Associate degree in finance, accounting, or related field

2+ years experience in customer service or office administration

Work Environment: The duties of this job are performed primarily in an office environment and occasionally, in a commercial motor vehicle terminal operations environment thereby experiencing some minor to moderate level of noise due to office/CMV equipment. Exposure to various climate conditions, fumes, dust, odors, oil/grease, and gasses.
