We are a fast-growing food and beverage manufacturing company specializing in healthy juices and food products. Our factory is a dynamic environment where efficiency, quality, and teamwork are at the core of everything we do. We are seeking a highly organized, bilingual (Spanish & English) Assistant to support our Head of Operations in managing day-to-day activities and driving operational effectiveness.
Position Summary:
The Assistant will play a key support role in helping the Head of Operations stay organized, responsive, and focused on high-priority tasks. This individual will coordinate schedules, assist with communication, track food safety and documentation, and help ensure smooth day-to-day operations in a fast-paced factory environment.
Key Responsibilities
- Calendar & Workflow Coordination: Manage operation manager’s appointments and daily schedule; help structure and prioritize their day across production oversight, meetings, documentation reviews, and audits; schedule weekly facility walkthroughs; attend and take detailed notes on action items.
- Administrative & Operations Support: Maintain and organize digital and physical files (including safety, training, and compliance records); deliver and collect invoices for auditing; assist with document management and follow-up on corrective actions and compliance reports.
- Remind the manager to review pricing updates; Oversee labor allocation and production efficiency; Monitor documentation, food safety logs, and process control.
- Food Safety & Compliance: Help follow up on HACCP logs, food safety documentation, and daily production records; support coordination with QA and other departments to ensure food safety standards are met; keep training files and safety records current, complete, and organized.
- Employee Interaction & Communication Filtering: Act as a first point of contact for employees seeking time with the manager; screen and filter requests, redirecting to other supervisors or departments when appropriate; ensure smooth internal communication and minimize avoidable escalations.
- Engagement & Recognition: Help organize and promote the Employee of the Month program (nominations, selection, announcements); assist with initiatives that improve employee morale and factory communication.
Requirements
- Bilingual – Fluent in both English and Spanish (written and verbal).
- Prior experience in an administrative, operations, or support role (experience in food manufacturing or factory setting strongly preferred).
- Excellent time management and organizational skills.
- Strong interpersonal communication abilities and a proactive mindset.
- Able to maintain confidentiality and handle sensitive matters professionally.
- Familiarity with food safety processes, HACCP systems, or production records is a plus.
- Proficient with calendars, spreadsheets, file management tools, and note-taking apps.
