Position Overview

We are looking for a mission‑driven leader who is energized by playing a support role and has experience delivering results in such a position. The Operations Assistant is a vital member of the Operations Team, which is responsible for designing and implementing efficient day‑to‑day systems and routines that contribute to a joyful school culture and the highest‑levels of learning, instruction and organizational stewardship (finance, data, compliance, asset management, etc.). You are skilled in staying calm in challenging situations and navigating the unexpected. In the course of a few minutes, the Operations Assistant may assist a parent with a concern, greet a potential donor touring the school, and then quickly pivot to problem‑solving with a kindergartener who left their coat on the bus. The Operations Assistant is managed, coached and supported by the Operations Manager. The primary objectives of this role include:

  • Delivering exceptional customer service as the school’s first point of contact on school campus for teachers, students and families.
  • Creating and maintaining a positive front‑office culture where all feel welcome and receive the support they need.
  • Serving as an integral member of the Operations Team and assisting in the efficient execution of day‑to‑day school systems and logistics (hall monitor, arrival/dismissal, etc.).
  • Performing administrative duties and special projects to support the Leadership Team in leading Brillante to achieve our ambitious goals.

In pursuit of these objectives, your typical week would include a variety of tasks such as:

  • Welcoming and building relationships with all who come into the office.
  • Answering inquiries (in‑person, via phone, or email) and providing accurate and helpful information to all, and relaying messages to the appropriate staff member(s) in a timely manner.
  • Walking students safely across campus during late arrival or early dismissal.
  • Serving as a hall monitor.
  • Calling names as part of the dismissal process.
  • Designing and maintaining staff‑facing systems for managing Front Office procedures (supply requests, copy requests, laminating requests, mail, etc.).
  • Managing office inventory, fulfilling staff supply requests and restocking supplies as needed.
  • Maintaining office equipment including copiers, laminators, etc. and providing basic troubleshooting support when an issue arises.
  • Developing and managing daily procedures for staff and student check‑in and check‑out.
  • Filtering and distributing office mail.
  • Creating and maintaining a welcoming and appealing physical environment including reception area, storage rooms, meeting rooms, etc.
  • Supporting the PEIMS & Data Manager in managing student attendance and information systems including data entry and making daily calls to families of absent students.
  • Supporting the Student & Family Engagement Manager in recruiting and enrolling new students.
  • Scheduling meetings for the Principal and Directors based on shared calendar availability.
  • Assisting with planning and execution of school events.
  • Creating and distributing school‑wide communications (newsletters, food calendar, bus routes, etc.).
  • Assisting the Operations Managers with purchasing and expense reports.
  • Working on special projects aligned with the Operations Team vision and/or in support of Principal or Superintendent priorities.
  • Planning time effectively to manage multiple projects simultaneously and meet deadlines while radically focusing on the highest‑impact priorities.
Qualifications
  • Belief in the Brillante Academy mission, model and values.
  • Bilingual in English and Spanish.
  • Experience working in a school and/or fast‑paced office environment is strongly preferred.
  • Team player with strong interpersonal, stakeholder management, and relationship‑building skills.
  • Strong written and verbal communication skills.
  • Excellent organization and time management skills.
  • Proficiency in Microsoft Office and Google Suite products.
