Job Summary
The Operations and Fiscal Coordinator provides progressively responsible administrative, fiscal, payroll, personnel, procurement, and operational support for the College of Agriculture, Environment and Nutrition Sciences ( CAENS ). This position coordinates daily business operations while ensuring compliance with university, state, federal, and sponsor regulations.
The position supports departmental and program operations through financial transaction processing, payroll and personnel administration, procurement, budget monitoring, student employment coordination, grant and proposal support, records management, meetings, travel, and administrative services.
- Prepare, coordinate, and monitor monthly, bi-weekly, and student payroll activities.
- Prepare, process, track, and maintain Personnel Action Forms (PAFs) and other personnel documents.
- Prepare and process student employment contracts and coordinate work-study/student employment activities.
- Maintain payroll, personnel, leave, fiscal, grant, and administrative records.
- Prepare and process requisitions, purchase orders, check requests, internal vouchers, invoices, journal entries, and other expenditure documents.
- Coordinate and monitor procurement activities and follow up on outstanding transactions.
- Monitor departmental, grant, research, Extension, and other program budgets and accounts.
- Review financial and administrative documents for accuracy, completeness, appropriate supporting documentation, and compliance.
- Prepare budget reports, financial reports, reconciliations, and other fiscal documentation as assigned.
- Assist faculty, staff, administrators, and program personnel with fiscal, payroll, procurement, and administrative processes.
- Compile information for institutional, federal, state, sponsor, research, and University reporting requirements.
- Maintain records and administrative documentation associated with grants and sponsored programs.
- Prepare correspondence, memoranda, reports, budgets, proposals, presentations, meeting materials, and other documents.
- Edit and proofread documents for accuracy, completeness, and compliance with established procedures.
- Maintain organized electronic and physical filing and recordkeeping systems.
- Coordinate meetings, appointments, conferences, workshops, and other activities.
- Prepare agendas, meeting materials, minutes, and follow-up documentation.
- Coordinate travel and lodging arrangements and related documentation.
- Review incoming correspondence and identify required actions, deadlines, referrals, and follow-up.
- Coordinate general office operations and administrative functions.
- Maintain office supplies, equipment, records, and operational resources.
- Communicate with Human Resources, Payroll, Procurement, Business Affairs, Sponsored Programs, and other University offices as necessary.
- Keep faculty, staff, administrators, and student employees informed of applicable policies, procedures, and deadlines.
- Maintain confidentiality of personnel, payroll, student, financial, research, and administrative information.
- Utilize Microsoft Office, financial systems, databases, and electronic collaboration platforms.
- Provide administrative and operational support to CAENS and Land-Grant leadership.
Qualifications
- o Master’s degree in Business Administration, Accounting, Finance, Public Administration, Management, or related discipline.
- o Experience in higher education, Cooperative Extension, agricultural research, or a Land-Grant
- o Experience administering federally funded programs.
- o Experience with USDA / NIFA or other sponsored programs.
- o Experience coordinating multiple funding sources or grant accounts.
- o Lead-worker or supervisory experience.

- o Experience providing guidance and technical assistance to faculty, staff, students,

- o Advance proficiency with Microsoft Excel, databases, financial systems, and
- o Demonstrate ability to independently prioritize and coordinate multiple assignments with minimal supervision.
