Job description

Job Summary

Operations is vital in delivering on contractual commitments post-sale by ensuring seamless execution across multiple sales channels and systems. Operations Analysts serve as a critical link between the business and its data, requiring a deep understanding of organizational processes, systems, and workflows. The data managed by this role directly supports key functions including customer invoicing, purchasing, and financial reporting. As stewards of data accuracy, Analysts rely on subject matter expertise and strict adherence to operational protocols to ensure integrity, efficiency, and protection of the company’s bottom line.

Primary Responsibilities:

  • Prioritize and Adapt: Manage a dynamic workload by efficiently organizing, tracking, and adjusting priorities as they shift daily. Strong organizational and communication skills are essential to ensuring alignment with the team and leader.
  • Ensure Data Accuracy: Validate the completeness and accuracy of sales deals to uphold contractual commitments, enable effective invoicing, and minimize financial risk.
  • Support End-to-End Process Integration: Align upstream and downstream processes to ensure data consistently supports Sales commitments and overall operational flow.
  • Cross-Functional Collaboration: Partner with Account Managers and other teams such as Risk, Supply, and Finance to review account issues, assess business impact, identify root causes, and recommend long-term solutions.
  • Set the bar high: Apply internal protocols to identify and address process flow gaps, always with a focus on maintaining a high level of satisfaction for both internal and external customers.
  • Perform Data Audits & Analysis: Conduct audits to support accurate data that will drive organizational decision making. Leverage sets of data to analyze trends, establish best practices and increase knowledge.
  • Contribute to Team Development: Dive-in to a collaborative environment to support individual growth, team knowledge-sharing, and overall departmental performance.

Other Responsibilities:

  • Take ownership of ad hoc, high-impact projects that arise from day-to-day operational challenges, prioritizing communication and collaboration.
  • Support the testing and evaluation of technical tools or system enhancements by providing clear, actionable feedback based on hands-on experience.
  • Build and maintain strong working relationships across teams by proactively collaborating with peers and key business stakeholders.
  • Perform additional duties and responsibilities as needed to support the success of the team and organization.

Required Skills:

  • Strong analytical, critical thinking, and problem-solving abilities with a proactive approach to identifying and resolving issues.
  • Proficient in Microsoft Office applications, including managing Outlook shared inboxes, analyzing large data sets in Excel, and drafting proposals or project updates in Word.
  • Excellent organizational and communication skills with a high attention to detail
  • Eagerness to learn the business to become a SME and a strong desire to expand technical skillsets.
  • Collaborative mindset with the ability to contribute effectively to team goals and cross-functional initiatives.
  • Foundational understanding of project management principles and practices.

Minimum Education and Experience:

  • Relevant experience in end to end, operational related work experience (preferred)
  • Minimum of 5 years of experience operations, back-end office management, or related systems environment.
  • Proven ability and desire to become an expert in a new industry or field.
  • Energy industry, project management, or start-up experience highly desired
  • Experience with EDI (electronic data interchange) is plus
  • Experience with Microsoft SQL is a plus, but not required.
