Job description

We are seeking a detail-oriented Operations Specialist to support the accuracy and flow of manufacturing jobs from quoting through production. This role will maintain BOMs, routings, manufacturing jobs, and other critical ERP information while working closely with Engineering, Sales, Purchasing, and Production to support changes, specifications, materials, scheduling, and overall job accuracy.

The ideal candidate is highly detail-oriented, naturally curious, and enjoys working with systems and manufacturing processes while helping identify and resolve issues before they impact production or customer delivery.

Key Responsibilities:

Manufacturing & ERP Management

• Monitor manufacturing jobs from release through completion, ensuring parts, BOMs, routings, and other manufacturing information are accurate and up to date.
• Create, maintain, and validate Bills of Materials (BOMs), routings, manufacturing jobs, and related manufacturing information within the ERP system.
• Support engineering changes and customer revisions by updating BOMs, routings, manufacturing jobs, quotes, and related ERP information.

Production Planning

• Support production scheduling, work releases, and prioritization of production orders based on customer requirements, material availability, and production needs.
• Monitor active jobs to ensure they are properly queued and have the necessary parts, materials, and information to move forward.
• Maintain production and open-order reports and work with Purchasing and Production to address material or scheduling issues.

Quoting & Change Support

• Creating, maintaining, and revising customer quotes, ensuring pricing, materials, specifications, operations, and supporting information are complete and accurate.
• Partner with Sales and Project Managers to develop accurate, manufacturable quotes that align with customer requirements and manufacturing capabilities.

Cross-Functional Collaboration

• Collaborate with Sales, Project Management, Engineering, Purchasing, Buyers, Production, Customer Service, and Suppliers to support successful quoting and manufacturing execution.
• Evaluate existing processes and recommend improvements that increase efficiency, standardization, accuracy, and operational effectiveness.
• Serve as the subject matter expert for BOM integrity, routing accuracy, quote development, manufacturing job setup, engineering revisions, and ERP manufacturing processes.

Role Requirements

• 3+ years of related experience within a manufacturing environment
• Bachelor's degree in business, supply chain, economics or other related field
• ERP (Enterprise Resource Planning) system knowledge for core supply chain, manufacturing, services, financial and other processes of an organization highly preferred.
• High Proficiency in Microsoft Word, Excel, Outlook and virtual communication and collaboration tools - such as Microsoft Teams, Webex and Zoom
• Experience in a corporate sales and service environment is preferred
• Ability to think analytically, apply sound judgment, and solve problems
• Attention to detail and service oriented
• Ability to manage multiple tasks at a time to meet delivery deadlines
• Strong communication skills with both front office staff and warehouse staff
• Solid understanding of inventory management practices and procedures
• Must work well independently and be self-motivated
