Operations Specialist

WHAT YOU'LL BE DOING

You will provide the highest level of customer service through prompt response to all cargo enquiries, complete and accurate bookings, and professional communication when following up with the customer on any missing cargo and/or documentation to ensure the customer's booking is loaded as scheduled. It is the responsibility of the Operations Specialist to ensure all booking requirements are complete before handing over to Load Planning.

In this role, the Operations Specialist plays a key part in achieving our “Happy Customer” value by focusing on meeting customer needs.

ESSENTIAL RESPONSIBILITIES INCLUDE:

  1. Communicate effectively to meet customer requirements, resolve issues or complaints promptly, and complete booking requests on time.
  2. Coordinate with the warehouse to ensure all cargo booked has been received before cut-off.
  3. Report any OS&D issues on received cargo to customers, follow up on outcomes, and determine if cargo can be shipped, needs re-packing, or must be collected.
  4. Follow up with customers to obtain any missing documentation before cut-off.
  5. Complete booking requests accurately.
  6. Arrange pick-ups with trucking companies.
  7. Contact shippers to complete bookings for overseas routes, send confirmation details to the origin office/agent, and communicate the status of the booking.
  8. Determine if VLS needs to handle export customs clearance, coordinate with customs brokers if necessary, and complete export entries.
  9. Inform Load Planning of any special handling requirements for cargo.
  10. Add additional charges and expenses incurred during the booking process.
  11. Lodge hazardous paperwork with the Haz Team for pre-approval for handling cargo.

MINIMUM QUALIFICATIONS AND REQUIREMENTS:

  • High school diploma or equivalent; associate degree preferred.
  • Minimum 2 years of customer service experience; logistics experience preferred.
  • Ability to multi-task, prioritize, and manage time effectively.
  • Strong listening, written, and verbal communication skills (English required); excellent interpersonal and teamwork skills.
