Job summary

New York Life Insurance Co is seeking an Operations Specialist to provide administrative and operational support in our Waltham General Office. You will work with the Managing Partner and Service Leader to keep daily operations smooth and responsive for agents and clients.

The role requires strong relationship-building, organization, and proactive problem-solving. Opportunity to contribute to onboarding, scheduling, and regulatory-compliant processes in a fully onsite environment.

Qualifications

• Minimum 3 years in customer service or office administration.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office Suite.
• Associates or bachelor's degree preferred, but not required.

Responsibilities

• Provide administrative and operational support to the Managing Partner and management team.
• Collaborate with the onsite Service Leader to ensure efficient operations.
• Serve as a point of contact for agents, addressing inquiries promptly and professionally.
• Greet and welcome visitors.
• Answer and direct phone inquiries.
• Coordinate accounts payable and receivable, including agent payments and reconciling purchase cards.
• Handle incoming and outgoing mail and deliveries per regulatory guidelines.
• Assist with facility management and network issue troubleshooting.
• Manage resource assignments for new agents and onboarding.
• Support other administrative duties such as reports, meeting prep, and fingerprinting for candidates.
