Job summary

The Dallas Arboretum and Botanical Garden seeks an enthusiastic, organized, guest-focused Event Facilitator to support Lifelong Learning programs and exhibition-related events. This part-time role provides onsite coordination for classes, workshops, demonstrations, lectures, and seasonal exhibition events, ensuring a welcoming and well-organized guest experience from setup through completion.

Qualifications

• High school diploma or equivalent.
• Previous experience supporting events, programs, hospitality or guest-facing experiences preferred.
• Excellent verbal communication and interpersonal skills with a strong commitment to guest service.
• Strong organizational skills and attention to detail; ability to follow event plans, schedules and instructions.
• Ability to work independently while also collaborating effectively with staff, volunteers, instructors, presenters and partners.

Responsibilities

• Facilitate onsite Lifelong Learning classes, workshops, lectures, demonstrations, special engagements and exhibition-related events, ensuring programs run on schedule and per plan.
• Serve as onsite point of contact for instructors, presenters, partners, vendors, volunteers and internal staff; communicate schedules, space needs and expectations.
• Assist with setup, breakdown and reset of program and event spaces, including tables, chairs, signage and instructional materials.
• Provide operational support for Exhibitions Department activities beyond scheduled events and programs.
• Welcome guests warmly, support registration/check-in, provide directions and program information, and help manage guest flow.
• Welcome instructors/presenters, assist with arrival and orientation, ensure materials and space are ready and provide onsite support.
• Monitor event timing, room readiness, supplies, transitions and other operational details for smooth guest and facilitator experiences.
• Collaborate with Lifelong Learning, Exhibitions, Sales, Garden Events and other departments to coordinate event needs.
• Interact with guests in a friendly, knowledgeable and service-oriented manner; respond to questions and assist as needed.
• Respond calmly to weather or day-of changes and escalate to management as required; assist with problem solving.
• Assist with cleanup, inventory, and return of materials; ensure spaces are left in good condition.
• Assist with attendance tracking, participant feedback and notes to improve future programs.
