Job description

Onsite Community Administrative Assistant

The Administrative Assistant is responsible for performing basic administrative support functions.

Licensed Community Manager preferred.

Responsibilities
  1. Answer and direct phone calls, including distribution of off-hours messages.
  2. Assist and direct all guests, clients, and customers for meetings, appointments, and services.
  3. Perform general office support duties including copying, filing, mailing, faxing, maintaining office directories and filing systems, and managing office supplies. Support tasks related to customer service, finance, and human resources as needed.
  4. Schedule meetings, book conference rooms, and assist in meeting support. Initiate action items from manager’s meeting notes and distribute accordingly.
  5. Coordinate catering for events.
  6. Prepare basic correspondence (emails, letters, etc.) as directed by the manager and team members.
  7. Assist with special projects.
  8. Perform other duties as assigned (region-specific).
Qualifications
  • High School Diploma or GED and 1 year of related experience.
  • Proficiency with Microsoft Office applications and internet.
  • Ability to operate basic office equipment and phone systems.
  • Ability to work with numbers, including calculations and cash handling.
  • Typing speed of 35 WPM, including alphanumeric keys and 10-key machine.
  • Working knowledge of billing and payment processing.
  • Familiarity with rate orders and contracts.

Physical Demands
