Job summary

M&A Law Firm, P.C. is seeking an Intake Coordinator to serve as the first point of contact for prospective clients, guiding them through the firm’s onboarding process and scheduling consultations.

This role blends empathetic client service with a proactive sales mindset in a fast-paced legal practice. You will manage calls and emails, draft engagement letters, collect retainers, and coordinate with attorneys.

Qualifications

• High school diploma required; some college preferred.
• Experience in sales and customer service essential.
• Proficiency typing and using MS Office.
• Excellent verbal and written communication.
• People person with friendly demeanor and interest in getting to know clients.
• Familiarity with legal industry processes a plus; litigation background not required.

Responsibilities

• Be the initial contact for prospective clients with empathy and professionalism.
• Listen to client needs, document legal issues, reflect firm commitment to excellence.
• Follow up with leads by phone and email, send engagement letters, collect retainer payments.
• Answer and route inbound calls to the appropriate person or department.
• Manage consultations scheduling and keep case files organized in the Case Management System.
• Use Law Hustle and Smoke Ball to track client interactions.
• Issue billing statements and follow up on unpaid invoices.
• Participate in team meetings and strategic planning.
