Position Summary
As an Oncology Scheduling Specialist, apply excellent customer service skills to schedule initial and follow‑up appointments for cancer patients. The role is fast‑paced with high volume of patients daily, requiring critical thinking and adaptability.
Core Functions
- Schedules medical appointments through coordination of patients, providers, facility resources, ancillary staff, records, referrals, authorizations, and payers. Receives and initiates calls to/from patients, providers, provider offices and facilities, following all established scheduling procedures and protocols to ensure patients receive the care they need, when and where they need it.
- Receives physician’s orders and schedules/reschedules appointments, tests, and/or procedures using electronic medical record/scheduling software systems, per protocols. Identifies alternative scheduled solutions when patient’s preference is unavailable, adhering to procedures and ensuring patient safety.
- Provides patients with information, pre‑ and post‑test instruction, appointment location, directions; answers questions within guidelines and protocols; refers questions to clinical staff as appropriate.
- Effectively communicates and builds relationships through written, digital, and verbal channels with patients, facilities, providers, and clinical colleagues to ensure an easy, empathetic, solution‑oriented patient experience, including phone, chat, email, electronic medical record messaging, and other digital channels.
Minimum Qualifications
- High school diploma/GED or equivalent working knowledge.
- Two years of scheduling experience in a physician’s office or hospital; medical terminology may be required.
- Excellent communication, organizational, and problem‑solving skills.
- Proficiency with commonly used office software and medical practice management and scheduling software.
Preferred Qualifications
- Knowledge of ICD‑9, CPT, and HCPCS coding.
- Working knowledge of various types of insurance plans and/or worker’s compensation.
- Bi‑lingual in Spanish.
- Additional related education and/or experience.
