Job summary

Palo Alto Networks is seeking an Onboarding Specialist (Contract) to manage the end-to-end onboarding experience for new hires in Santa Clara. This role partners with our Staffing partners and HR systems to coordinate offers, background checks, identity verification, and Welcome Day activities.

In this 6‑month contract based in Santa Clara, CA (Hybrid 3x to office), you will ensure timely onboarding data in Workday and related platforms, maintain confidentiality, and deliver a seamless first

• 1+ year of offer generation and onboarding experience in technology companies.
• Demonstrates a high degree of integrity and maintains confidentiality.

Responsibilities

• Coordinate offers and background checks through third-party vendors.
• Manage identity verification through third-party vendor and onboarding data in Workday, SmartRecruiters, and other systems.
• Adhere to processes and adjudication guidelines, while proposing scalable improvements.
• Provide early intervention and support to resolve onboarding issues.
• Support Staffing Operations with ideas to address gaps and implement scalable solutions.
• Own the entire new hire onboarding experience from offer to Welcome Day and data return.

As an Onboarding Specialist (Contract) you will play a pivotal role in demonstrating our company culture and making the best first impression. If you are a self-starter and looking for a role that helps create a great new hire experience, this is it! This individual will provide a positive onboarding experience to all new hires from the offer stage through their first week at Palo Alto Networks.

• Location: Santa Clara, CA (Hybrid 3X to office)
• Duration: 6 Months

Your Impact

• Ensure a positive onboarding experience for new hires by ensuring all aspects of onboarding are completed accurately and timely including

• management of offer generation
• management of background checks through a third party vendor
• management of identify verification through a third party vendor and management of accurate onboarding data in Workday, SmartRecruiters, and other systems

• Adhere to processes and adjudication guidelines, but have the ability to think outside the box for issues that arise outside stated guidelines and provide recommendations to lead prior to moving forward.
• Manage and provide early intervention and support for the resolution to issues as they are identified and help to implement long-term solutions.
• Serve as a key member and active participant of the Staffing Operations team, offering ideas and suggestions to address gaps/roadblocks and present scalable solutions.
• Share best practices and areas of improvement that will positively impact the team (thinking big)
• Provide support for a variety of administrative activities requiring knowledge of organizational procedures, methodologies, and business practices
• Own the entire new hire’s onboarding experience including: coordinate via Workday Onboarding platform and email with new hires regarding onboarding requirements, background check documentation, Welcome Day, and ensure all required information is returned in a timely manner

Your Experience

• 1 + year of Offer generation and onboarding experience with technology companies.
• Demonstrates a high degree of integrity and maintains confidentiality.
• Flexible, yet highly organized, and able to adapt to shifting priorities, demands and deadlines in a global, dynamic environment.
• Strong written and verbal communication skills.
• Proficient at handling high volumes of work and multi-tasking in a fast-paced, high-intensity work environment.
• Proficient in use of MS Office Suite or GSuite.
• Understanding of the entire candidate/employee lifecycle, with ability to recommend process-oriented, technical, and/or operational solutions to improve the overall experience.
• Meticulous attention-to-detail with consistent follow up.
• Critical thinking and problem-solving is an absolute must.
• Background check experience is highly preferred.
• Experience with the following tools a plus: Workday, ServiceNow, and DocuSign

Compensation

The compensation offered for this position will depend on qualifications, experience, and work location. For candidates who receive an offer,this is the pay range that Magnit (the staffing agency) reasonably expects to pay for this position: $30/hour to $35/hour. Please note that the compensation information in this posting reflects the hourly wage only and does not include benefits.
