JOB SUMMARY
The Onboarding Specialist works closely with the Recruiting and Human Resources teams to ensure a seamless onboarding experience and compliance with all pre‑employment and new hire processes. This role is focused specifically on onboarding - not full-cycle recruiting or benefits administration - and supports a high volume of new hires. This position reports directly to the Recruiting Manager.
DUTIES/RESPONSIBILITIES
- Coordinates onboarding for all newly hired employees from offer acceptance through their first day
- Guides new hires through the onboarding process and ensures all required employment documentation is completed accurately and on time
- Serves as the primary point of contact for new hires, answering questions and providing support throughout the onboarding process
- Schedules and monitors all pre‑employment requirements, including drug screenings, background checks, and Motor Vehicle Record (MVR) requests
- Verifies all required employment eligibility documentation is received and accurately completed to process new hires through E‑Verify
- Assists new hires in completing and understanding onboarding paperwork, including Form I‑9, Form W‑4, and Direct Deposit Authorization
- Conducts weekly new hire orientations, including in Spanish as needed, to ensure Spanish‑speaking employees fully understand company policies, procedures, safety requirements, and available benefits
- Maintains employee information within the HRIS and onboarding systems, ensuring data accuracy and confidentiality
- Coordinates onboarding schedules with hiring managers and department leaders
- Provides verbal and written translation between English and Spanish as needed
- Performs other onboarding‑related duties as assigned
REQUIRED SKILLS/ABILITIES
- Must be bilingual in English and Spanish (written and verbal) - required
- Exceptional organizational and time‑management skills
- Strong written and verbal communication skills
- Ability to handle confidential information with discretion
- Strong problem‑solving and interpersonal skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to manage multiple tasks in a high‑volume, fast‑paced environment

- Comfortable working in a blue‑collar, construction‑industry work environment
EDUCATION AND EXPERIENCE
- 1-2 years of Human Resources experience
- 1+ years of onboarding‑specific experience
- Background in manufacturing, distribution, construction, or services industries preferred, but open to strong candidates from other industries who are comfortable in a blue‑collar workplace culture
PHYSICAL REQUIREMENTS
- Prolonged periods of sitting
- Ability to reach, bend, or stoop
- Occasional standing and walking within the office environment
- Ability to lift and carry up to 15 pounds
