Job summary

A First Name Basis in Gulfport, MS is seeking an Onboarding Associate to own the caregiver orientation from hire through clearance and to provide front-office support.

You will lead pre-arrival steps, conduct in-person interviews, perform drug screening and background checks, complete onboarding paperwork, and train new caregivers.

This role blends administrative duties with recruiting support and hands-on coordination with Care Management to ensure a smooth onboarding experience.

Qualifications

Responsibilities

  • Sit at the front of the office and greet every scheduled caregiver warmly and professionally.
  • Confirm completion of pre-arrival items (AxisCare application, Paylocity onboarding, 360Learning training) and help candidates finish anything outstanding.
  • Conduct in-person interviews and administer drug tests.
  • Complete the onboarding process, including drug screening, background checks, running exclusions, and app training.
  • Complete and verify onboarding paperwork, digital forms, and required signatures.
  • Review required compliance items and identify anything missing.
  • Deliver a robust orientation presentation and training that gets new caregivers excited to work with us.
  • Ensure caregivers understand company policies, procedures, expectations, and scheduling processes.
  • Assess each candidate in person — professionalism, reliability, fitness for the role — and flag concerns to the recruiting team.
  • Introduce new caregivers to the on-site Care Management team.
  • Track each caregiver's onboarding status from hire through clearance.
  • Build each caregiver's initial schedule in coordination with Care Managers, matching shifts to their availability and preferences.
  • Follow up with caregivers who have incomplete onboarding requirements and help ensure they're ready to be scheduled as quickly as possible.
  • Follow up with new caregivers during their first week, then transition them to their Care Manager for ongoing support.
  • Answer incoming office calls and route calls appropriately.
  • Assist with caregiver recruiting calls, scheduling interviews/orientations, and orientation class scheduling.
  • Assist with caregiver staffing, walk-ins and telephonic visits.
  • Make reminder calls/texts to upcoming orientation attendees.
  • Help maintain office organization and onboarding materials
  • Other office administration duties as assigned

Job Summary

The Onboarding Associate will own the caregiver orientation and onboarding process from the time a caregiver is hired until they are fully cleared and ready to work. During non-orientation time, they provide front-office and administrative support.
