Job summary

The Allen Institute for Artificial Intelligence in Seattle is seeking a Temporary Recruiting Coordinator to support the Recruiting team during a period of increased hiring. You will coordinate interviews, manage calendars, and ensure a best-in-class candidate experience both onsite and virtually.

This temporary position lasts through the end of the year, with potential for extension based on business needs and performance.

Qualifications

• 1–3+ years of recruiting coordination or high-volume interview scheduling experience.
• 1+ year of experience using Greenhouse or another ATS (Greenhouse preferred).
• Experience managing multiple priorities in a fast-paced environment.
• Excellent organizational skills and meticulous attention to detail.
• Strong written and verbal communication skills.
• Customer-service mindset and ability to build relationships with candidates and teams.
• Experience with Google Workspace and Slack; adept calendaring across time zones.

Responsibilities

• Coordinate virtual and onsite interviews from initial screen through final loop.
• Partner with Office and IT to reserve meeting rooms and set up presentations.
• Serve as primary point of contact for candidates throughout the interview process.
• Welcome candidates onsite and ensure a positive experience.
• Keep interview pipelines moving and address scheduling challenges proactively.
• Maintain candidate records and interview data in Greenhouse.
• Support job postings and recruiting administrative tasks.
• Monitor recruiting inbox and respond to scheduling requests.
• Support recruiting projects, processes, and events including onsite intern events.
