Job summary

OWM Integrative Wellness is seeking a Practice Manager to run the daily non-clinical operations at our Buffalo, NY clinic. You’ll report to the Medical Director, supervise front desk staff and medical assistants, and own the floor from scheduling to equipment flow.

This full-time role offers authority to implement processes, coordinate with departments, and build a smoothly running patient experience, with a focus on EOS-based accountability.

Qualifications

• At least three years of operations or office management experience in a medical practice.
• Proven experience supervising front desk staff and/or medical assistants.
• Experience building or improving processes, SOPs, or scheduling systems.
• Strong working knowledge of EHR and practice management systems, and comfort with spreadsheets.

Responsibilities

• Lead front desk operations and the patient experience from first call through departure.
• Optimize scheduling across providers, IV chairs, MedSpa, hyperbaric, and lounge services.
• Monitor patient flow in real time and clear bottlenecks as they happen.
• Track and improve schedule fill, no-show rates, and wait times.
• Directly supervise front desk staff and medical assistants, including scheduling and onboarding.
• Maintain clear communication between clinical, front desk, and operations teams.
• Write and maintain SOPs for front desk, workflows, patient flow, and equipment.
