Job summary

Sprout, a global IT hardware retirement provider, seeks a Sales Operations Coordinator to support Velerity customers, manage orders, and coordinate billing and inventory from our Garland facility.

You will own the order lifecycle in BC, maintain CRM data, and collaborate with Sales, Finance, and Logistics; strong Excel and BC experience required; on-site work in Garland, TX.

Qualifications

• Bachelor’s degree from a 4-year accredited institution.
• 1 to 3 years in a sales coordinator, sales operations or order management role.
• Strong Excel skills, including pivot tables, INDEX-MATCH and conditional formatting.
• Experience with Microsoft Dynamics 365 Business Central, or the ability to learn an ERP quickly.
• Comfort owning customer communication directly, in writing and on calls.
• Able to work on-site full-time at the Wood facility in Garland, TX.

Responsibilities

• Customer Success & Onboarding: Serve as the day-to-day point of contact for Velerity customers and keep each relationship moving.
• Onboarding: Onboard new accounts and collect buyer documentation, including compliance and end-user verification forms.
• Customer calls: Join or lead customer calls to support a deal or resolve an issue.
• Records: Keep every account’s contacts, documents and activity current in HubSpot.
• PO to delivery: Own each order through its full cycle. Confirm logistics and warehouse instructions are accurate.
• Order tracking: Log and update every order on the Velerity order tracker in monday.com.
• Freight & pickup: Coordinate pickup or freight with the warehouse and Operations.
• Hardware reports: Coordinate the Velerity hardware diagnostic reports that go to customers with each shipment.
• On the floor: Work alongside the warehouse and build team on every Velerity order.
• Verification: Confirm serials, configurations and pack-out against the order before anything ships.
• Serial capture: Make sure serials are captured in Business Central so orders are not held at pickup.
• Pickups & visits: Stage orders and support customer pickups, inspections and site visits.
• Issue response: Be the first person on-site to investigate shortages, damage or configuration questions.
• Pricing: Price inventory and orders in Business Central once given direction from Sales.
• Line approval: Approve line-item pricing and quantities with precision.
• Offer lists: Build, format and update offer lists based on inventory and location.
• Invoicing: Create and send invoices promptly, often within hours of a sale or bid finalization.
• Inventory: Partner with Operations to ship finished goods inventory efficiently.
• RMA, Claims & Credits: Investigate return claims and initiate RMAs for Velerity customers.
