Job summary

GrowUp Greenwalls LLC in Escondido, CA is seeking a part-time Operations/Finance Coordinator to own contracts, billing, purchasing, inventory, and job costing. You will manage HubSpot and QuickBooks Online, feed AI-assisted workflows, and collaborate with the CEO and operations lead to keep our paper trail accurate.

The role provides a fixed morning schedule, on-site work, and a chance to contribute to a growing biophilic design business with projects across the US and Canada.

Qualifications

• 3+ years in construction administration, project accounting, or an operations/finance coordination role in a stock-carrying business.
• Experience submitting pay applications and lien releases, dealing with retainage, and using a GC portal is a plus.
• Inventory bookkeeping: POs, receiving, stock counts, and reconciling counts to books.

Responsibilities

• Log inbound subcontracts and track through signature; ensure contracts, POs, or deposits precede mobilization or material orders.
• Set up each job’s billing schedule at signature with deposits, milestones, retention, and cutoff dates.
• Run supplier invoices through the purchasing assistant, verify deliveries against POs, and post bills.
