Job summary

Brightpoint is seeking an Office Systems Coordinator to provide comprehensive administrative support to the President/CEO, Executive Team, and Office Systems Manager. The role is based at our Washington Blvd, Main Office location and involves 40 hours per week from Monday through Friday with salary in the $18.00–$24.00 per hour range.

The position includes duties such as mail handling, check data entry, purchasing, and coordinating schedules.

Qualifications

  • Associates degree or equivalent experience in business-related field required.
  • 2+ years administrative support experience; nonprofit sector preferred.
  • Strong verbal and written communication skills.

Responsibilities

  • Manages daily mail, data entry of checks, and postage accounting.
  • Coordinates purchase requisitions for agency programs and office systems.
  • Supports office tracking system implementation and maintains filing/retrieval systems.
  • Schedules Executive Management appointments including meetings, travel, teleconferences.

Position: Office Systems Coordinator
Location: Washington Blvd, Main Office
Hours: 40 hours - Monday through Friday (Scheduled determined by supervisor)
Starting Salary Range: $18.00 -24.00/HR.

Job Summary

The Office Systems Coordinator provides administrative support to the President/CEO, Executive Team, and the Office Systems Manager.

Job Duties
  • Leads daily mail pick-up, sorting, dating, and distributing incoming mail.
  • Completes daily data entry of all incoming checks, cash, etc. into the check log database.
  • Completes daily stamping of outgoing mail and accurately charging postage to appropriate programs.
  • Complete all Purchase Requisitions for agency pooling contracts as well as Office Systems and Executive Management.
  • Provides internal program support agency wide for Office Systems Programs.
  • Assists with the implementation of the organization's tracking system.
  • Welcomes and prioritizes visitors and other communication within the facility.
  • Supports outreach and engagement within and outside the facility.
  • Provides historical reference by developing and utilizing filing and retrieval systems, recording meeting discussions.
  • Coordinates Executive Management's appointment schedules by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Manages correspondence by reviewing, routing, drafting letters, and initiating communications.
  • Initiates purchases and maintains office supplies for Executive Management.
  • Performs other duties as assigned by Executive Management.
  • Provides general support equally to the President/CEO, VP of Administration, VP of Development Fund, VP or Community Service and the Office Systems Manager.
  • Upholds and demonstrate Brightpoint Values in all professional activities.
Skills And Qualifications
  • Associates degree in the area of business management, business administration, communications, or a related field. Appropriate combination of certificate programs or experience may be substituted in lieu of this requirement.
  • At least two (2) years of administrative support experience, preferably in the not-for-profit sector. Five (5) years of administrative support experience preferred.
  • Strong interpersonal and oral and written communication skills.
  • Proficient in MS Word, Excel, Outlook, Power Point.
  • Ability to type 35 WPM.
  • Ability to manage multiple projects at once.
  • When driving for Brightpoint, the employee must have a valid Indiana driver's license and must maintain minimum liability limits of $100,000/$300,000 on auto insurance.
