Office Specialist, Admissions Events and Welcome Center

Job Summary
The Office Specialist serves as the primary host for Office of Undergraduate Admissions events and visits within the Gretchen B. Caughman Student Welcome Center, shaping the first impressions and experiences of prospective students and their families. This Specialist supports the day‑to‑day operations involved in planning and executing on‑campus, off‑campus, and virtual recruitment and yield events.
Responsibilities
- Serve as the official greeter for Welcome Center visitors.
- Manage incoming communications (email, phone) from prospective students, families, and partners.
- Schedule campus visits, daily tours, and special events.
- Support event logistics: space reservations, catering, AV, registration systems, materials, and communication.
- Assist in communicating and collaborating with campus partners.
- Maintain department databases and records, enter data, and generate reports.
- Maintain office supplies and equipment inventory.
- Maintain order and appearance in the Welcome Center to create a warm, inviting atmosphere.
- Coordinate special facility needs and space reservations in collaboration with Facilities.
- Assist Associate Director and Coordinator as needed.
- Perform all other job‑related duties as assigned.
Required Qualifications
- Associate’s degree from an accredited college or university OR High School diploma, GED, or equivalent.
- Minimum three years of office support or customer service experience.
Preferred Qualifications
- Experience in college/university admissions.
- Experience in front‑line guest experience and service.

Shift, Salary, Benefits
- Shift: Days; M‑F.
- Pay Band: B3.
- Salary: $16.54–$19.85 hourly (commensurate with qualifications).
- Benefits: health insurance, dental insurance, life insurance, Teachers Retirement System (or Optional Retirement Plan), vacation time, sick leave, 13 paid holidays; tuition assistance for eligible employees with 6 months’ employment.
Conditions of Employment
- Successful completion of background check.
- Credit check if required for Positions of Trust or approved Purchase Card usage.
- Motor vehicle reports if required to drive a university vehicle.
- For Faculty hires: proof of completed academic degree and transcripts; foreign‑educated candidates must provide credential evaluation.
