The Oregon Department of Justice, Trial Division, is hiring two Office Specialists (Office Specialist 1) for the Portland Legal Office. The role supports trial preparation, document management, and file handling in a full-time in-office capacity, with standard 8:00 am–5:00 pm hours, Monday–Friday.

Qualifications

• One year of general clerical experience including keyboarding, word processing, or other experience generating documents.

Responsibilities

• Process incoming and outgoing mail (physical and electronic) and review documents for accuracy and completeness.
• Prepare binders for attorneys for trial, including printing documents and labeling tabs.
• Archive preparation, data entry into case management system, and file transportation.
• Perform scheduled and unscheduled messenger runs.
• Open and close files according to division guidelines.
• Enter data into computerized case management systems and file documents.
• Collect data for case management docket control and distribute dockets.

Job Description

The Oregon Department of Justice, Trial Division is seeking to hire two Office Specialists (Office Specialist 1) for the Portland Legal Office. The Trial Division defends the State of Oregon and all its agencies, departments, boards, commissions, and district attorney's offices before the state and federal trial courts in Oregon. Due to the nature of this position, the required work hours are 8:00 am to 5:00 pm, Monday through Friday, with an hour scheduled for lunch. The position is full-time in office.

Job Duties (in Part)

• Responsible for processing incoming and outgoing mail (physical and electronic), including reviewing documents for typographical errors, accuracy, and completeness.
• Prepares binders for attorneys to take to trial including printing the requested documents, ensuring all documents are in correct order and labeled tabs are provided if requested.
• Prepare files for archive, including, but not limited to entering data into case management system, maintaining record of files, and transportation of files.
• Make scheduled and unscheduled messenger runs in and out of the agency.
• Open and close files using division guidelines.
• Enter data into computerized case management systems and file documents.
• Collect data for case management docket control and distribute numerous dockets.
