  • Provides information to prospective enrollers and maintains enrollment records and waiting lists.
  • Coordinates monthly billings, payment documentation, and receipts; handles tuition aid forms.
  • Answers the phone and prepares payroll documents for hourly employees.
  • Manages staff scheduling in the director's absence.
  • Maintains files for children and staff; serves as a resource in the director's absence.
  • Performs other related duties incidental to the work.

Job Summary

Department Specific Responsibilities



  • Leads the center's food service program including maintainingmenus, ordering food, preparing and cleaning up light breakfastsand snacks, coordinating lunch ordering, and ensuring children haveall the required meals and snacks throughout the day as required bystate licensing, completes all required paperwork for the federalfood program Child and Adult Care Food Program¿ (CACFP).

  • Supervises lunch preparation and cleanup; compiles dailyattendance records and meal counts for monthly reports; completesand submits monthly reports to the Child and Adult Care FoodProgram.

  • Assists as needed during visits by all inspectors and licensingagents, i.e. State Fire Marshall, Federal Food Program, WelfareDepartment, and state and local health departments keeps abreast ofchanges in rules and regulations and provides assistance inassuring compliance.

  • Maintains professional manners when working with staff,parents, children, and the public.

  • Provides a variety of support services to Campus ChildrenCenter and the director including providing information to parentsof prospective enrollers when director is unavailable; assists withmaintaining the preschool's waiting list and enrollment records;records and informs the director of any changes.

  • Coordinates and provides information for monthly billings anddocumentation of parent fees, makes deposits and issues feereceipts.

  • Completes and submits forms for tuition assistance withprograms with city, county, state, or university funding agents forparents participating in these assistance programs.

  • Answers the phone.

  • Prepares payroll documents for hourly employees

  • Handles staff scheduling in the absence of the director.

  • Maintains files for all children and staff in the program.

  • Serves as a major resource person in the absence of thedirector.

  • Performs other related duties incidental to the work describedherein.


General Responsibilities



  • Assists with office production and determining alternativemethods to improve workflow and efficiencies.

  • Opens, sorts, and routes incoming mail, answers correspondence,and prepares outgoing mail.

  • Compiles, copies, sorts, and files records of officeactivities.

  • Monitors the use of office supplies and equipment, and reordersitems as required.

  • Completes and mails bills, contracts, policies, invoices, andchecks.

  • Answers phones, directs calls, and takes messages for theoffice.

Working Conditions / Demands

This role requires the ability to effectively communicate and tooperate a computer and other standard office productivityequipment.
