Job summary

Ohio Department of Health (ODH) is seeking an experienced Office Professional 2 in Columbus, OH, to process record orders and certified birth/death certificates. The role requires clerical, data entry, and customer service skills and offers a full-time schedule from 8am to 5pm, Monday through Friday, with OCSEA union representation.

The Bureau of Vital Statistics ensures accurate vital records, with scanning duties and routine inquiries supported by standard procedures.

Qualifications

  • 6 mos. trg. or 6 mos. exp. in using personal computer & related business office software AND 6 mos. trg. or 6 mos. exp. in office practices & procedures.
  • Or 6 mos. exp. as Office Professional 1, 12141.
  • Equivalent of Minimum Class Qualifications for Employment noted above.

Responsibilities

  • Ensure records (e.g., birth death, fetal death) are correct and utilize proper procedures to make a formal decision
  • Correct database information when a discrepancy exists
  • Check accuracy of indexed birth data by cross referencing data between Vital Statistics applications and received adoption registry documentation in order to match with an adoption file
  • Compare original vital record with change document requests (e.g., legal name changes, data completion requests, amended birth and death certificates, supplemental name reports, court ordered legal changes, affidavits)
  • Verify accuracy and completeness of information prior to processing
  • Operate scanning equipment to assign state certificate file numbers on certificates and/or to image vital records and change documents to database
  • Respond to routine questions using systems to track pending correspondence and amendment requests

Job Description

The Bureau of Vital Statistics (VS) operates a statewide system for the registration of births, deaths, and other vital events that happen within the state of Ohio. We are currently seeking an experienced office professional to fulfill record orders and requests for certified birth and death certificates. This position will:

ALL ANSWERS TO THE SUPPLEMENTAL QUESTIONS MUST BE SUPPORTED BY THE WORK EXPERIENCE/EDUCATION PROVIDED ON YOUR CIVIL SERVICE APPLICATION. Unless required by legislation, the selected candidate will begin at Pay Grade 26, Step 1 of the union (OCSEA) Pay Range Schedule ($21.83 per hour), with an opportunity for pay increase after six months ($22.29 per hour) of satisfactory performance and then a yearly raise thereafter.
