Role

We are seeking a high‑energy, organized, and personable Office Operations and Internal Communications Associate to support operations at our New York location and join the Corporate Communications Team. This role is essential to maintaining a smooth, efficient, and welcoming workplace, covering tasks from internal communications support to general office administrative tasks and providing a positive first impression for visitors and guests as needed.

Key Responsibilities
Internal Communications Support
  • Support incoming resume management
  • Support team with corporate swag inventory management, new item search and distribution
  • Valued member of internal communications team to assist with a variety of corporate culture initiatives
General Administrative Support
  • Provide day‑to‑day administrative support as needed
  • Assist Corporate Communications team with team meeting planning, internal initiatives, and office events
NY Office Administrative Support
  • Register external and internal guests, and issue/collect office access cards for employees
  • Schedule and book meetings within NY office and ensure meeting spaces are prepared and equipped, and if needed greet clients, partners or visitors with warmth and professionalism
  • Order and maintain office supplies and snacks
  • Manage incoming mail to the NY office
  • Support facilities requests and liaise with building management as needed
Professional Experience/Qualifications
  • 2–4 years of experience in office administration, reception, or operations (biotech or professional‑services background preferred)
  • Strong organizational skills and keen attention to detail
  • Excellent written and verbal communication abilities
  • Proficiency with Microsoft Office Suite, Outlook, and shared‑drive systems (OneDrive, SharePoint)
  • Comfortable multitasking in a dynamic, fast‑paced environment
  • Ability to lift packages (mail, supplies)
Education
  • Bachelor’s degree, preferably in Communications, Public Relations, Journalism or Business
