Job description

POSITION OBJECTIVE:

Maintain office services of American Farm Bureau Federation in a professional and efficient manner. This role ensures that day to day support services including meeting room setup, mail and parcel pickup and delivery, copier/printer equipment, and general supply needs are consistently met and operating smoothly.

REPORTS TO:

Director, Office Operations

PAY RANGE:

$28.20 - $35.90/hour (approx. $55,000 - $70,000/year based on a 37.50-hour week)

LOCATION:

Washington, DC

DUTIES and RESPONSIBILITIES:
  • Promptly respond to facility-related correspondence and emails, resolving issues directly or routing them to the appropriate person.
  • Process and distribute all incoming and outgoing mail, parcels, and publications, including coordinating daily deliveries and pickups for the office and between departments.
  • Maintain the office supply inventory and distribution system, including ordering and stocking office, printer, shipping, and pantry supplies.
  • Monitor office space for repair and maintenance needs, including equipment, appliances, and mechanical systems, and coordinate with outside vendors to ensure repairs and maintenance requirements are met.
  • Execute conference room setups and break downs for meetings as requested, including wiring tables for power when needed.
  • Serve as primary liaison with building management, vendors, and service providers.
  • Submit and track service requests using the building helpdesk system, ensuring timely resolution.
  • Ensure the 9th floor kitchen and 10th floor pantries are stocked and organized.
  • Clean dishwashers, coffee makers, water dispensers and toasters in all pantries weekly.
  • Assist with office moves, including moving furniture, and hanging pictures.
  • Maintain the database security platform and issue badges to new employees.
  • Assist with processing vendor payments for the Office Operations Team and other departments as requested.
  • Serve as a backup for Office Operations teammates (Receptionist/Administrative Assistant and Project Coordinator).
  • Assist with planning and on-site support for AFBF daily, annual and Board meetings
  • Perform other duties as assigned.
RELATIONSHIPS:

Communicates with all employees of American Farm Bureau Federation and affiliated companies, and state Farm Bureau personnel regarding meetings, activities and needs of the organization to maintain effective and efficient office operations.

EDUCATION OR TRAINING REQUIRED:
  • High school diploma or GED
EXPERIENCE AND SKILLS REQUIRED:
  • Minimum two (2) years of experience in the office administration, operations or coordinator role
  • High degree of professionalism, strong organizational skills with excellent attention to detail
  • Ability to manage multiple priorities and deadlines independently
  • Knowledge of U.S. mail and parcel delivery services
  • Ability to interpret and analyze common invoices/billing documents
  • Proficient with Microsoft Office Suite, specifically Outlook and Excel
  • Excellent phone etiquette, written and verbal communication skills
PREFERRED EDUCATION/EXPERIENCE/TRAINING/SKILLS:
  • Strong shipping and parcel delivery service background
OTHER REQUIREMENTS:
  • Ability to lift up to 50lbs to move furniture and packages
  • Occasional early morning, evening and weekend work required
  • Occasional domestic travel
