Job summary

Goldfine & Company, a growing commercial real estate brokerage based in Radnor, PA, seeks an organized Office Manager/Transaction Coordinator to support the President and manage day-to-day operations. You will act as a deal quarterback for active transactions and coordinate schedules, meetings, and deadlines.

You will work closely with the Marketing Director on presentations, marketing materials, and CRM-driven workflows, with opportunities for expanded responsibilities and advancement.

Qualifications

  • Strong organizational skills and ability to manage multiple priorities.
  • Proactive with strong follow-through and ownership of projects.
  • Excellent written and verbal communication.
  • Tech-savvy and quick to learn new systems.
  • Proficient with Salesforce, Google Sheets, Excel, Word, PowerPoint, and Outlook.
  • Experience with Canva, Adobe, AI tools, PM software, or CRE databases is a plus.
  • Prior experience in commercial real estate or transaction-oriented roles preferred but not required.

Responsibilities

  • Work directly with the Company's Senior Leadership to manage schedules, priorities, meetings, tasks, and follow-ups.
  • Serve as a deal quarterback across active transactions - tracking status, next steps, deadlines, and responsible parties.
  • Maintain and manage the company's deal pipeline through Salesforce and Google Sheets.
  • Proactively follow up with brokers, clients, landlords, attorneys, and other parties to keep transactions moving.
  • Prepare regular deal-status and priority updates for the President and brokerage team.
  • Work closely with the Marketing Director on custom presentations, property flyers, client materials, email campaigns, and company marketing.
  • Assist with LOIs, proposals, site packages, market surveys, tour books, and client presentations.
  • Maintain client, prospect, property, and transaction information and help ensure CRM records remain current.
  • Coordinate client meetings, property tours, travel, conferences, and other company events.
  • Assist with market research, commission tracking, invoicing, expenses, and transaction documentation.
  • Oversee general office organization and help identify ways to improve company systems, technology, and workflow.

About this role

We are a growing commercial real estate brokerage company based in Radnor, PA seeking a highly organized, proactive, and technology-capable Office Manager/ Transaction Coordinator to work directly with the Company President and help manage the day-to-day operations of the firm.

This is more than a traditional administrative role. We are looking for someone who can become a "deal quarterback" - keeping track of active transactions, next steps, deadlines, and follow-ups while helping ensure opportunities continue moving forward.

The position will also work closely with our Marketing Director and offers significant exposure to brokerage, leasing, marketing, and business operations, with the opportunity for increased responsibility and advancement within the company.
